The Hospitality Group operates a portfolio of more than 20 business class hotels with top brands from Intercontinental Hotel Groups, Marriott International, Hilton, and Best Western Hotels: along with The Watermark Hotel, The Hay-Adams Hotel, and Perch Putt. These properties are operated by a team of more than 1,000 enthusiastic hospitality professionals!

This position is responsible for supporting the rooms and catering sales effort for the Dulles Region hotels. Focus on championing customer and owner objectives in support of Our Quality Pledge and Standards of Service, the hotel's and the company's Mission Statement is of paramount importance. This is a position requiring direct communication and focus to customers within a range of market segments. This position is also responsible for supporting several sales representatives located both on and off premise.

Specific Duties and Responsibilities:

The Area Sales Coordinator is responsible for, but not limited to the following:

1.Responsible for the handling phone inquiries for Sales and managing flow through of relevant inquiries to the property and above property sales teams via Meetingbroker and other channels.

2.Supports the Sales Team’s efforts to manage group effectively including contract turnover, creating booking links, and other tasks as needed. Ensures all necessary details are noted on the bookings and communicated to relevant departments.

3.Gather materials and assemble information packages (e.g., brochures, promotional sales and operational materials)

4.Responds to guest problems and requests related to groups and meetings.

5.Enter, retrieve, reconcile, and verify information (e.g., commissions, rebates, leads, third parties, group pickup) in Delphi.FDC involved in the sales process.

6.Supports the Sales Team’s efforts in order to ensure groups progress seamlessly by following established procedures, collaborating with other team members, and ensuring detailing accuracy.

7.Updates Reader boards daily and/or more often if changes are required.

8.Publishes reports, including Daily Events Reports, Daily Billings Specifications, Daily Banquet Check Summary and Banquet Checks, Daily Change Log, Weekly Deposit Report to accounting and Weekly IHG Rewards Process task for groups.

9.Collaborates with all other operational departments to communicate group details via the group resume pertaining to arrival/departures, billings, special requests, etc.

10.Other administrative tasks as required.

11.Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.

12.Develop and maintain positive working relationships with others; support team to reach common goals.

13.Welcome and acknowledge all guests according to company standards; anticipate and address guests' service needs; thank guests with genuine appreciation. Proactively identifies operational challenges associated with his/her group and determines how to best work with the property staff and client to solve these challenges and/or develop alternative solutions. Anticipate problems and barriers to hosting successful meetings and events, and make recommendations for solutions. Remain flexible and solution oriented.

14.Adhere to all standards, policies, and procedures and consistently maintain a professional and ethical representation within the Sales and Catering Department.


Responsibilities:
  • Support Sales/Revenue Maximization: Responsible for performing general office duties to support Sales & Catering (e.g., filing, sending emails, typing, faxing, copying) while providing effective administrative support to Sales Managers and the Director of Sales as well as other team members when needed in order to ensure consistent and seamless turnover from sales to service. Direct involvement with clients throughout the detailing process and fielding initial lead calls.
  • Guest Service: Support client satisfaction by ensuring catering service standards are met and clients' needs are responded to in a timely manner. Ensures effective communication of client needs to appropriate operational departments. Resolves clients' complaints and concerns in a courteous and friendly manner, focuses on service recovery when applicable.
  • Technical Acumen: Responsible for utilizing sales and catering tools/systems. Ensures integrity of data by documenting information in Delphi on a daily basis. Responsible for other brand reservations systems/portals as needed.
  • Safety/Risk Management: Support operations to maintain standards per B. F. Saul Company Hospitality Group, brand, local, state and federal regulations. Ensures a clean and safe work environment, and follows all B. F. Saul Company Hospitality Group procedures for guest/employee incidents.
  • Self/Workload Management: Responsible for effective self/workload management. Demonstrates clear written and verbal communication skills. Promotes collaboration and positive, professional work environment. Attends all applicable daily, weekly and/or monthly department/hotel meetings to ensure proper communication and proactive planning.
Qualifications:
  • Education: High school diploma or GED required.
  • Experience/Knowledge/Skills/Abilities: Strong knowledge of Microsoft Office, including Powerpoint and Excel, required. Delphi experience desired. Must be detail oriented, have ability to communicate well with, and be able to problem-solve with employees and guests. Must be able to manage multiple priorities in a fast-paced environment.·
  • Excellent oral and written communication skills.
  • The ability to cohesively present thoughts and ideas in a convincing and engaging manner. Connect with guests, detail events, upsell products and services, be detail oriented and have a solid working knowledge of catering and event management system
  • Demonstrate excellence in communications, independent problem solving skills and identify process improvements needed.
  • Strong work ethic and professional focus; High level of integrity and discretion.
  • Ability to work extended hours based on business needs, with physically demanding responsibilities such as walking, standing, carrying, and lifting throughout the extended shift.
  • Physical Requirements: Ability to lift, push, and pull up to 20 pounds on an occasional basis.
