Job description

Kleinfelder is hiring an Area Administrative Manager for our Construction Materials Testing and Special Inspections Practice in Texas and Oklahoma. An Area Administrative Manager works in partnership with Area Manager to effectively support the execution on the area specific business plan, including but not limited to the objectives surrounding project management, staffing, health and safety, and human resources functions. This is an exciting opportunity for an administrative career professional seeking to maintain responsibility for all administrative functions of Construction Materials Testing and Special Inspections throughout the states of Texas and Oklahoma in support of project delivery, including accounting, collections, human resources, word processing, general office and personnel management, and on-going client/staff service support.

Experience must include the following:

  • 2 - 3 years of business administration experience and knowledge of applicable laws and regulations required. Must have experience implementing and maintaining compliance with company policies.
  • 1 - 2 years supervisory experience required.
  • This position requires experience overseeing ordering of field, laboratory, office, and kitchen supplies. Must have experience coordinating with property owner, subcontractors, and outside vendors.
  • This role will require understanding how financial information is used to guide business decisions. Experience managing expense reports, developing financial forecasts, and estimating resources is necessary.
  • Advanced knowledge of MS Office including Excel and MS Word is required.
  • Experience working in an engineering environment.

Responsibilities will include, but are not limited to:

  • Leads administrative processes, procedures, and initiatives within respective area.
  • Manages assigned staff and coordinates indirect administrative team members to meet all area administrative and delivery support requirements.
  • Timely set-up and maintenance of proposal and project files; ensure work production is in accordance with company standards.
  • Assists with tracking and analysis of actual variable operating costs against budget; provides assistance with financial analysis of project performance including assessment of write-offs, usage capture, accounts receivable, WIP and other related Project Manager financial metrics.
  • Compiles information from various company systems and resources to enable Area Manager to conduct thorough review meetings with staff; schedules, coordinates, and tracks review meetings being conducted throughout the assigned region.
  • Manage human resources processes including onboarding new staff, ordering equipment, setting up workspace, tracking milestones, recruitment, events, and maintaining confidentiality.
  • Effectively utilizes company systems and processes such as LPS, Deltek, quality management and performance management.
  • Manage overhead budgets and review expenses.
  • Review vendor and subcontractor invoices.
  • Provide timesheet support and maintenance.
  • Completes other assigned tasks within administrative role on an as needed/ requested basis.
  • Requires up to 20% travel within Texas and Oklahoma and employee is expected to work in-person at the office at least four days a week.

Education:

  • Associate's degree or equivalent from two-year college or technical school or equivalent combination of education and experience required. Bachelor's degree preferred.
