Job Title: Appointment Scheduler (Fully Remote MUST BE LOCATED IN THE DFW AREA)

*Training will be conducted in-office before transitioning to full remote work.*

General Summary of Duties:

The Appointment Scheduler reports to the Appointment Scheduling Manager. The role involves providing exceptional customer service to both new and established patients, ensuring a positive patient experience through multi-tasking, focus, and effective communication. Responsibilities include maintaining accurate records and updating patient information.

Position Responsibilities
  • Answer phones promptly within two rings.
  • Schedule appointments for new and existing patients following physician templates and preferences.
  • Request copies of imaging, lab reports, or sleep studies as needed.
  • Respond to patient inquiries via email, phone, or online submissions.
  • Proactively troubleshoot conflicts and direct patients to appropriate departments.
  • Coordinate with medical assistants and front office staff to ensure smooth clinic operations.
  • Accurately enter patient demographics, pharmacy, and insurance information.
  • Check and distribute voicemail messages appropriately.
  • Manage referrals according to policies and procedures.
  • Schedule audio appointments when necessary.
  • Apply customer service principles to handle patient interactions calmly and pleasantly.
  • Perform other duties as assigned by physicians or management.
