Job summary

SIU System seeks an ADEI Coordinator to support antiracism, diversity, equity and inclusion initiatives across the SIU System. Under the VP of ADEI & CDO, you will provide administrative support, manage projects, coordinate events, and assist with data analysis, reporting, and communications.

The role requires collaboration with senior leaders, faculty, staff, students, and external consultants. This is an on-site Springfield position.

Qualifications

  • Bachelor’s Degree required.
  • 1 year (12 months) in education, training and/or work experience in the area; Master’s may substitute for one year.

Responsibilities

  • Support ADEI initiatives planning, implementation, coordination, and assessment.
  • Provide administrative support to the VP for ADEI & Chief Diversity Officer, including calendar, travel, correspondence, and meetings.
  • Coordinate planning and execution of ADEI-related meetings, retreats, conferences, and events; assist with logistics and vendor coordination.
  • Develop and coordinate communications and marketing materials for ADEI programs and maintain webpages and social media.
  • Assist with budget administration, purchasing, travel documentation, and financial reporting.

Job description

Under the supervision of the VP of ADEI & CDO, the ADEI Coordinator will support antiracism, diversity, equity, and inclusion initiatives/strategies. Serve as advocate and champion the importance and value of a diverse and inclusive system office. Provide administrative support to VP of ADEI & CDO and project management support for implementation of diversity initiatives. The ADEI Coordinator will interact on a regular basis with senior administrative leaders, faculty, staff, students, and external consultants across the SIU System.

A. ADEI Initiative Support – 20%
  1. Support the planning, implementation, coordination, and assessment of system-wide ADEI initiatives and strategies.
  2. Assist with implementation and monitoring of Diversity Strategic Plans, leadership development initiatives, ADEI audits, and other system-wide programming.
  3. Collect, organize, and analyze data to support assessment, reporting, and continuous improvement of ADEI initiatives.
  4. Serve as a liaison among the System Office, campuses, and relevant internal and external stakeholders on ADEI-related matters.
B. Executive and Administrative Support – 25%
  1. Provide administrative support to the Vice President for ADEI & Chief Diversity Officer, including calendar coordination, travel, correspondence, presentations, meeting preparation, and routine communications.
  2. Prepare reports, correspondence, presentations, meeting materials, and minutes for advisory councils, strategic committees, and other ADEI-related meetings.
  3. Handle sensitive and confidential information with appropriate discretion and professionalism.
C. Project and Event Management – 25%
  1. Coordinate the planning and execution of ADEI-related meetings, retreats, conferences, symposiums, training sessions, and other events.
  2. Support event logistics, communications, materials, vendor coordination, travel, and on-site execution.
D. Communications and Outreach – 15%
  1. Develop and coordinate communications and marketing materials that promote ADEI programs, initiatives, and accomplishments.
  2. Manage and maintain designated ADEI webpages, social media platforms, and related technology resources.
  3. Promote awareness of the value and importance of an inclusive and diverse SIU System.
E. Financial and Operational Coordination – 10%
  1. Support administration of ADEI-related budgets and financial transactions, including purchasing, vendor contracts, travel documentation, credit card reconciliation, and financial reporting.
F. Other Duties as Assigned – 5%

Minimum Acceptable Qualifications
  1. Bachelor’s Degree.
  2. A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
Knowledge, Skills and Abilities (KSAs)
  1. Adept with social media platforms and website maintenance
  2. Strong organizational skills, analytical skills, and attention to detail.
  3. Effective oral and written communication skills, including presentation skills.
  4. Project management and/or event planning experience preferred.
  5. Ability to travel and work well in fast-paced environment.
  6. Ability to handle sensitive and confidential issues with tact and discretion.
  7. Initiative, creativity, and self-motivation are essential to complete assigned tasks, as well as the willingness and ability to act independently.
Condition of Employment
