Qualifications

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • No prior experience required. Experience gained through internships, student employment, volunteer activities, or related work in administrative support, communications, customer service, project coordination, or nonprofit/higher education environments is preferred.
  • Experience in marketing, communications, nonprofit advancement, higher education, or a related field preferred.
  • Ability to work with donors and campus partners professionally.

  • Provides administrative support to the Director of Annual Giving and coordinates the planning, implementation, and tracking of annual giving initiatives.
  • Assists with direct mail and email appeals, supports online giving, maintains campaign information, and assists with stewardship for donors and supporters.

Position Overview
Essential Duties and Responsibilities
Administrative Support
  • Provides administrative and program support to the Director of Annual Giving in the coordination, implementation, and tracking of annual giving initiatives, including preparation of work plans, procedures, correspondence, reports, and other departmental materials.
  • Assists with annual giving campaigns and donor engagement activities by coordinating direct mail and email appeals, supporting online giving initiatives, maintaining campaign information, and assisting with stewardship efforts for annual giving donors and supporters.
  • Supports alumni and constituent engagement efforts by assisting with outreach activities, event coordination, and communication efforts while maintaining positive relationships with donors, prospects, and campus partners.
  • Provides operational and administrative assistance for fundraising activities by maintaining records, preparing written communications and reports, coordinating with campus constituencies, and supporting the Director of Annual Giving with departmental projects and initiatives.
Compliance and Policy Implementation
  • Assists with the implementation and adherence to university advancement policies, procedures, and fundraising guidelines by maintaining accurate documentation, supporting consistent processes, and ensuring annual giving activities align with institutional standards and requirements.
  • Supports compliance efforts related to donor communications, gift processing, reporting, and stewardship activities by following established policies, maintaining appropriate records, and assisting with updates to procedures and operational practices.
Special Projects and Reporting
  • Assists the Director of Annual Giving with special projects and strategic initiatives by coordinating timelines, designing and preparing materials, tracking progress, and providing administrative support to ensure successful completion.
  • Supports the planning and execution of advancement projects, including donor engagement initiatives, annual giving campaigns, events, and other departmental activities that contribute to university fundraising goals.
  • Participates in cross-functional projects with campus partners and advancement teams by gathering information, preparing reports, coordinating logistics, and assisting with project-related communications and deliverables.
Communication and Stakeholder Engagement
  • Supports effective communication with donors, alumni, campus partners, and other stakeholders by preparing correspondence and designing marketing materials, coordinating outreach efforts, and assisting with engagement activities that promote positive relationships and advancement goals.
  • Assists with stakeholder engagement initiatives by collaborating with internal and external constituents, providing timely follow-up and information, and supporting the Director of Annual Giving in fostering strong partnerships across the university community.
Required Qualifications
Required Education
  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
Required Experience

Preferred Qualifications
  • Experience or coursework in marketing, communications, public relations, nonprofit advancement, higher education, or a related field.
Physical Requirements
  • Ability to work outdoors on occasion exposed to various weather conditions, potential allergens, elevated noise levels, and heat.
  • Ability to move light or medium objects with assistance.
  • Ability to travel independently to other and/or remote locations by driving or taking commercial flights.

  • Ability to effectively communicate both orally and in writing.
  • Ability to positively and professionally interact with donors and staff.
  • Ability to work with sensitive information and maintain confidentiality.

Additional Information

A federal proclamation issued on September 19, 2025, imposes a $100,000 fee on new H-1B petitions filed after September 21, 2025. Texas A&M University-Kingsville will not pay this fee. If immigration sponsorship may be required for employment, consult with private immigration counsel, at the individual’s expense, is recommended to determine whether the individual’s current immigration status would make a potential offer of employment from Texas A&M University-Kingsville subject to this fee. In addition, on January 27, 2026, Texas Governor Abbott issued a moratorium on the filing of any new H-1B petitions unless approved by the Texas Workforce Commission. Accordingly, if sponsorship for employment visa status is required now or in the future, this moratorium may affect the university’s ability to employ the selected final candidate. TAMUK will adhere to applicable regulations regarding visa opportunities.

  • This position does require work beyond normal office hours and/or work on weekends as needed.
