Analyst, Software Asset Management

Summary/Purpose:

This key technical position within Digital Technology encompasses Software Asset Management which includes the end-to-end lifecycle of software acquisition planning, purchases, deployment, upgrades, patches, maintenance, usage control and proposer disposal including maintaining all documentation on all software for the life of the organization. The Software Asset Management (SAM) Analyst will work closely with IT Vendor Management, Procurement, ITSM, Compliance, Configuration Management, Change Management, Infrastructure and Operations teams to help maintain the day-to-day records and databases responsible for containing information pertaining to the organization’s software assets. The Analyst will be responsible for evaluation and handling multiple license types and licensing applications, supporting software compliance audits, and working with various teams to maintain an effective software management program.

Key Responsibilities:

  • Responsible for Software Asset Management license maintenance activities, including
    • Creating new licenses in accordance with vendor specifications in the SAM tool.
    • Processing new software purchases and applying to the appropriate software license as approved
    • Monitoring and identifying compliance risks of software licenses
    • Identify opportunities for cost savings, working with the Software Asset Manager to address efficient, renewal and commercial issues
    • Coordinating software and license reclamation activities
    • Collecting information in response to software verification requests
    • Ensure Agent technology, Host/VM technologies connections and SaaS connections are implemented & maintained enterprise wide to support ongoing compliance
  • Assists in software audit activities, working with the Governance, Compliance, Configuration Management and Vendor Management teams.
  • Works closely with various IT, Procurement and Vendor Management teams, ensures appropriate software licenses are available prior to deployment.
  • Supports Software Asset Management policies, processes, procedures, standards, and system of controls for software asset acquisitions, installations, usage, and disposition.
  • Supports All SAM Tool Modules, business functions, supported platform hardware, associated configurations, integrations and business adaptors
  • Generates reports and dashboards to provide information related to software licenses such as number of installs, purchases and provide licensing knowledge and advisory services to stakeholders to maximize the value of Software Asset Management
  • Ensures ongoing license compliance and manages to license optimization.
  • Collaborate with the operations team to ensure that all “in-scope” devices are reporting into the SAM tool and decommissions are processed in a timely manner.
  • Provides advice, guidance, and expertise regarding divestments and acquisitions.
  • Contributes to the development and execution of an ongoing roadmap to improve software asset management processes
  • Create and update records and report on software license compliance based on software license right-to-use (RTU), software license agreements, maintenance agreements, and software installations
  • Review software compliance measures based on existing licensing agreements and implement processes to improve compliance
  • Ensures accuracy of KPI/Metrics to be included in standard reporting and dashboards for Demand Management, Compliance, Audit and Executive Reporting.
  • Builds and supports productive relationships with all business partners.
  • Maintain the asset database integrity and ensure compliance with asset governance and standards
  • Provides the correct applications to the specified users at optimal intervals to obtain the best value and to eliminate unnecessary software products. Increase efficiency by making the best use of existing software assets.
  • Utilizes available resources to solve problems, aware that Software Asset Management issues interrelate and impact business objectives.
  • Partners with IT Service Management, Process Owners, Technical Leads, Application Owners to support and develop process improvements, compliance, and operation efficiencies.

Skills for Success

  • Minimum 3-5 years of experience as a Software Asset Management Analyst
  • BS/BA or equivalent years’ work experience in related field
  • Proficient SAM experience with Flexera and ITSM experience with ServiceNow
  • Proven experience and knowledge of Tier 1 software publishers (e.g., Microsoft, IBM, Oracle, Adobe, and associated license metrics (e.g., per device/user, core, processor, PVU/RVU, LPAR, subscription, etc.)
  • Ability to calculate vendor licensing models, familiarity of SAP, VMware and technology such as Citrix, XenServer/XenApp, Microsoft App Virtualization, Jamf and Microsoft SCCM
  • Working knowledge of reconciling software licensing, contract language and software maintenance terms and conditions between procured rights and quantities with compliant deployment of software assets
  • Strong experience in configuration management, asset lifecycle management, process improvement and compliance
  • Proven experience working with a CMDB and the specific business services it supports and IT Service Management (ITSM) processes, as well as experience with Discovery tools.
  • Experience in regulatory requirements related to Software Asset Management
  • Working knowledge of current IT technologies and full understanding of industry practices
  • Experience in the fundamental concepts and procedures used in purchasing, the procurement lifecycle, and best practices
  • Possess IAITAM Certification e.g., CSAM, CAMP, CITAM
  • Possess ITIL V3 Foundation Certification or equivalent process implementation experience
  • Strong data analysis skills including expertise in MS Excel
  • Excellent interpersonal, communication and problem-solving skills
  • Self-motivated with the ability to work independently, manage time and workload effectively, including planning, organizing, and prioritizing with attention to detail

  • Some travel (domestic and/or international) may be required
  • Requires on-call work
  • May require weekend or shift work
  • Requires in-office work per current policy

Hiring Range:

$94,400.00 USD - $118,000.00 USD annually

Incentive Potential: This position is eligible for additional compensation awards that may include an annual incentive plan, sales incentive, orcommissionpotential.
