What you'll do

The Ambulatory Office Assistant II serves as the first point of contact for patients within the Bassett Healthcare Network. This key role in the patient-centered care team demonstrates excellence in all patient and customer encounters, including face-to-face and telephone interactions. You will ensure a high-quality patient experience by providing administrative and clinical support to ambulatory care teams with excellent customer service, attention to detail, and interpersonal skills.

You will be responsible for clear, accurate, and timely communication with nurses and providers regarding patients. You will also handle scheduling, demographic and financial data collection, and may have direct revenue responsibilities such as payment collection and insurance verification. Additionally, there may be direct patient care responsibilities.

The role includes various specific duties such as:

  1. Reception/Call Handling: Greeting patients courteously, providing necessary informational packets, raising emergent situations, answering phones promptly, and managing messages and appointment reminders.
  2. Patient Registration and Scheduling: Collecting demographic and insurance information, confirming provider details, updating patient preferences, and scheduling appointments efficiently while providing options to meet patient needs.
  3. Referral and Chart Management: Managing referrals, ensuring complete and accurate documentation, and supporting clinical documentation and patient flow activities.
  4. Payment and Cash Handling: Conveying payment information, processing payments accurately, and managing cash drawer and petty cash.
  5. Office and Clinic Support: Managing supplies, filing, mailing, scanning, and supporting clinical and administrative operations, including compliance and confidentiality standards.
  6. Training and Leadership: Training new staff, acting as a subject matter expert, and participating in quality improvement and educational activities.

What we need from you

Education: High School Diploma or GED preferred.

Experience: Minimum 2 years relevant work experience required; an associate degree or higher may substitute.

License/Certification: Medical Office Assistant or Medical Assistant preferred; BLS certification within 6 months of hire.

Skills: Computer proficiency, customer service, time management, multi-tasking, communication, problem recognition.

Physical Requirements: Medium work exerting up to 50 lbs., with occasional bending, climbing, and other physical activities.

Hazards and Working Conditions: Exposure to bodily fluids, chemicals, and various environmental conditions.

Travel: Occasional travel may be required.

Pay Range
