Job description

This role is open to candidates based in LATAM, Africa, and Eastern Europe. Please note that as this role supports U.S.-based clients, candidates must be available to work during U.S. business hours aligned with the client’s time zone.

Our client is a fast-growing e-commerce company that buys, bundles, and resells merchandise online. The company operates with a lean, distributed team and uses a combination of a core commerce platform, QuickBooks, Google Workspace, SharePoint, and custom-built internal systems to support day-to-day operations.

The company is looking to move from scattered, one-off AI experimentation toward AI automation that is systematically integrated into how the business operates.

ROLE OVERVIEW

The AI Workflow Specialist will identify, prioritize, build, and implement AI-powered automations across accounting, purchasing, operations, customer service, marketing, catalog management, and reporting.

Reporting directly to the founder, this person will initially work with each department to understand existing workflows, identify friction and repetitive work, and develop a prioritized roadmap for automation.

This is not a traditional software engineering role. The AI Workflow Specialist will primarily use modern AI coding assistants such as Claude Code to design, build, and ship practical internal tools and automations. The role requires strong business judgment, the ability to work with loosely defined problems, and end-to-end ownership from workflow audit through implementation and adoption.

Fully Remote | 9:00 AM - 5:00 PM EST

KEY RESPONSIBILITIES
PROCESS & SYSTEMS AUTOMATION
  • - Audit manual workflows across departments and identify opportunities for AI-powered automation.
  • - Automate accounting workflows, beginning with credit card reconciliation.
  • - Build a consolidated reporting layer for data currently distributed across 7–8 different sources.
  • - Automate invoice reconciliation between the company’s order management software and QuickBooks.
  • - Identify and prioritize additional automation opportunities based on business impact.
AI-ENABLED CUSTOMER SUPPORT
  • - Own and continuously improve the existing AI-powered support ticketing agent.
  • - Support a system that handles multiple auto-forwarded inboxes and generates responses using an internal knowledge library.
  • - Expand the support agent’s knowledge library.
  • - Tune the AI agent to improve its auto-response success rate over time.
CATALOG & CONTENT AUTOMATION
  • - Use AI tools to clean and maintain a product catalog containing tens of thousands of SKUs.
  • - Identify and correct formatting issues, inconsistencies, and errors at scale.
  • - Build repeatable tools or AI agents that accelerate product listing creation and ongoing catalog maintenance.
REPORTING & DECISION SUPPORT
  • - Connect sales history and inventory data to improve purchasing and reorder decisions.
  • - Develop reporting that provides visibility into what products sell, how quickly they sell, and when inventory should be reordered.
  • - Surface and prioritize new automation opportunities as they are identified across departments.
AI ADOPTION & ENABLEMENT
  • - Serve as a resource for non-technical team members looking to solve business problems using AI.
  • - Build AI-powered solutions for internal teams or help team members learn how to use AI to address their own workflows.
  • - Use modern AI coding assistants such as Claude Code to build and ship internal tools.
  • - Prioritize speed and iteration over heavy traditional engineering approaches.
AUTOMATION PROJECT OWNERSHIP
  • - Work directly with non-technical department leads to understand loosely defined operational problems.
  • - Translate business challenges into scoped and prioritized automation projects.
  • - Determine the appropriate workflows, data sources, and prompts required for each solution.
  • - Own projects end to end, including audit, development, rollout, and adoption.
  • - Work independently with minimal oversight.
QUALIFICATIONS
EXPERIENCE
  • - Demonstrated experience implementing AI automations in a business environment that other team members actively use.
  • - Experience identifying business problems and translating them into practical automation solutions.
  • - Experience independently taking automation projects from initial audit through build and rollout.
  • - Experience consolidating and reconciling data across multiple disconnected systems or sources.
  • - Experience with SellerCloud or similar multi-channel e-commerce or order management platforms is a plus.
  • - Experience with e-commerce or retail operations, including inventory, purchasing, or reconciliation, is a plus.
  • - Experience with QuickBooks or similar accounting software is a plus.
  • - Experience building or improving AI agents for customer support or ticketing workflows is a plus.
  • - Experience with AI-assisted social media or content creation is a plus.
SKILLS
  • - Strong business-first approach to identifying and prioritizing AI automation opportunities.
  • - Ability to take ambiguous business problems and independently determine the appropriate workflow, data sources, and prompts needed to solve them.
  • - Hands-on proficiency with AI coding assistants such as Claude Code or comparable tools.
  • - Ability to build and ship functional AI automations rather than relying solely on general-purpose AI tools for individual tasks.
  • - Ability to work with and reconcile information across disconnected systems and data sources.
  • - Ability to independently own automation projects from audit through implementation and adoption.
  • - Familiarity with Google Workspace or SharePoint-based environments is a plus.
  • - Ability to work effectively with unfamiliar and custom-built systems.

OPPORTUNITY

The AI Workflow Specialist will have the opportunity to help establish how AI is implemented across a growing e-commerce business.

Rather than focusing on isolated AI experiments, this role will own the process of identifying high-impact opportunities and turning them into working systems that are adopted across departments. The position provides direct access to the founder and ownership of automation initiatives spanning accounting, operations, customer support, catalog management, purchasing, inventory, and marketing.
