We’re looking for an AI Systems & Workflow Specialist to help scale and optimize our internal systems using cutting-edge tools and intelligent workflows. In this role, you’ll be the driving force behind process automation across teams: leveraging AI, no-code/low-code platforms, and data tools to streamline how we operate.

We’re looking for an AI Systems & Workflow Specialist to help scale and optimize our internal systems using cutting-edge tools and intelligent workflows. In this role, you’ll be the driving force behind process automation across teams: leveraging AI, no-code/low-code platforms, and data tools to streamline how we operate.

You’ll be designing, implementing, and maintaining automations that eliminate manual work, improve customer experience, and increase team efficiency. Your day-to-day will involve building scalable systems that free up human time and help us move faster as a fully remote, tech-enabled company.

This role is perfect for someone who is systems-oriented, thrives on automation, and gets excited by solving messy operational problems with elegant AI-powered solutions.

Key Responsibilities

AI-Driven Process Automation

Design and implement automations using tools like Zapier, Make, HubSpot workflows, GPT-powered scripts, and more.

Identify high-friction workflows and redesign them using AI, APIs, and automation platforms.

Proactively seek out opportunities to reduce manual effort across teams (Ops, Sales, CS, Design, etc.).

Cross-Functional Execution & Enablement

Work with stakeholders to scope automation needs and translate them into scalable, repeatable systems.

Collaborate with leadership to build out dashboards and OKR-tracking systems that automate updates and surface insights.

Partner with sales and marketing to build automated lead generation engines and customer workflows.

Data & Workflow Management

Maintain clean and connected data systems across tools (e.g. HubSpot, Airtable, Notion, ClickUp, Google Sheets).

Ensure automations are reliable, documented, and monitored for errors.

Own internal tooling stack and recommend new tools as the company scales.

Continuous Improvement & AI Experimentation

Run small AI pilots (e.g., customer support GPT bots, AI QA checkers for design files, automated Slack reports) to validate value.

Measure impact of every automation on time saved, quality increased, or revenue generated.

Stay on top of emerging AI/ops tools and evaluate for internal use.

What We’re Looking For

3+ years experience in operations, growth, or systems-focused roles

Proven ability to automate workflows using tools like Zapier, Make, Airtable, HubSpot, OpenAI, or similar

Strong understanding of data flows, system integrations, and automation architecture

Familiarity with APIs and ability to write lightweight scripts (e.g., Python, JavaScript) is a plus

Highly proactive, curious, and excited by AI and the future of work

Experience working in a startup or fast-paced remote team environment

Excellent problem-solving and communication skills

Bonus: Experience in customer journeys, e-commerce, or creative production pipelines
