Job summary

HistoryIT seeks an AI Operations Analyst to help transform how AI-assisted production systems are evaluated, tested, and deployed across the company. The role combines analytics, documentation, and cross-team collaboration to improve efficiency and quality.

You will work with leadership, services, and software teams to identify bottlenecks, design repeatable solutions, and build standards for performance measurement. Remote or onsite work is possible.

Responsibilities

  • Learn and understand HistoryIT's production workflows from intake to final delivery.
  • Improve AI-assisted workflows by evaluating outputs, testing prompts, and identifying bottlenecks.
  • Develop recommendations to increase efficiency and quality in operations.
  • Create and maintain workflow documentation, SOPs, and training materials.
  • Track workflow performance and support rollout of new processes.
  • Collaborate with Services, Software Development, and Leadership teams to translate challenges into improvements.

HistoryIT helps organizations preserve, organize, and share their most important historical assets. Our clients include professional sports teams, national nonprofit organizations, educational institutions, associations, and other organizations with large and complex collections of photographs, documents, audiovisual materials, publications, and institutional records.

We are in the middle of a major transformation in how we process and deliver our services. Rather than relying solely on traditional manual workflows, we are building AI-assisted systems that dramatically improve speed, quality, consistency, and scalability.

We are looking for an AI Operations Analyst to help drive that transformation.

This position can be performed remotely or onsite.

The Opportunity
  • This role sits at the intersection of AI, operations, data, and workflow design—focused on improving how work gets done, not writing production code or managing projects.
  • This role will work at the intersection of AI, operations, quality, data, and workflow design. The job will be to help us evaluate, improve, document, test, and operationalize AI-assisted production systems across the company.
  • This role will work closely with leadership, services, and software development teams to identify bottlenecks, improve workflows, measure results, and help transform how work gets done.
  • This role is ideal for someone who enjoys understanding complex processes, identifying inefficiencies, working with data, testing systems, and creating repeatable solutions.
Duties/Responsibilities
Learn and Understand Existing Workflows
  • Become deeply familiar with HistoryIT's production workflows
  • Learn how collections are processed from intake through final delivery
  • Understand existing AI-assisted workflows and quality processes
  • Participate directly in production activities to understand workflow realities
Improve AI-Assisted Operations
  • Evaluate AI-generated outputs and identify patterns of success and failure
  • Test prompts, workflows, and automation approaches
  • Analyze workflow bottlenecks and improvement opportunities
  • Help design and refine AI-assisted production systems
  • Develop recommendations for increasing efficiency and quality
Build Operational Systems
  • Create and maintain workflow documentation
  • Develop standard operating procedures and training materials
  • Help establish performance metrics and quality benchmarks
  • Track workflow performance and improvement results
  • Support rollout and adoption of new processes
Work Across Teams
  • Collaborate closely with Services, Software Development, and Leadership teams
  • Translate operational challenges into actionable improvements
  • Participate in testing and validation of new workflows and systems
  • Help ensure successful implementation of new tools and processes
Required Skills/Abilities
  • Strong understanding of AI tools and modern AI workflows
