Job summary

The role bridges the gap between technical development and real-world implementation, ensuring AI systems are deployed ethically, accurately, and effectively.

The role bridges the gap between technical development and real-world implementation, ensuring AI systems are deployed ethically, accurately, and effectively.


This position supports end-user training, prompt engineering, workflow testing, system troubleshooting, and continuous monitoring of AI outputs for quality, risk, and bias. The Specialist also contributes to documentation, compliance reporting, and industry-specific AI projects that enhance institutional efficiency, student success, and responsible technology adoption.


Essential Job Duties

AI Tool Setup & Configuration


  • Install, configure, and integrate AI platforms and enterprise tools.

  • Conduct vendor evaluations, build-vs-buy analyses, and ROI justification.

  • Apply governance, privacy, and responsible data controls.

  • Design integrations with awareness of context windows, model reliability limits, and workflow constraints.


Responsible AI Implementation


  • Operationalize legal, ethical, and policy requirements related to AI usage.

  • Conduct bias and risk assessments at prompt, data, and evaluation levels.

  • Implement incident response, escalation, and rollback procedures for AI systems.


User Training & Support


  • Provide user support across AI interfaces including chat, dashboards, and voice-based tools.

  • Design and deliver role‑specific training on AI literacy, prompting, and workflow adoption.

  • Support change‑management and readiness activities for new AI tools.


Prompt Engineering & Workflow Testing


  • Use structured prompting techniques (role, context, constraints, refinement).

  • Develop advanced prompts including system prompts, multi‑component sequences, RAG workflows, and multimodal inputs.

  • Build formal test suites to evaluate accuracy, consistency, edge cases, and fallback behavior.

  • Simulate real‑world workflows using AI tools and evaluate alignment with institutional objectives.


Monitoring AI Outputs & Mitigating Bias


  • Review AI outputs for quality, correctness, risk, and bias.

  • Use dashboards, KPIs, and monitoring tools to track AI performance.

  • Run continuous improvement cycles using data and user feedback.

  • Document and implement corrective actions, including prompt adjustments and escalation of major issues.


Troubleshooting AI Systems


  • Identify, diagnose, and resolve user‑facing issues in AI platforms.

  • Diagnose prompt, model, and system‑level issues.

  • Perform structured root‑cause analysis and reliability operations.

  • Maintain fix playbooks and verify post‑patch behavior.

  • Collaborate with IT, engineering, or vendor support teams to elevate unresolved issues.


Documentation, Reporting & Compliance


  • Produce audit logs, governance artifacts, and compliance reports.

  • Develop vendor evaluation rubrics, bias/accuracy reports, and risk registers.

  • Prepare stakeholder‑ready documentation, presentations, and performance summaries.

  • Maintain ethical compliance checklists and reporting related to AI deployment.


Industry‑Specific AI Projects & Deployment


  • Apply AI tools to industry‑specific workflows and regulatory environments.

  • Define sector‑specific metrics and evaluation rubrics.

  • Participate in AI implementation projects across domains such as education, healthcare, legal, retail, or public services.

  • Adapt AI tools to meet unique requirements such as FERPA, HIPAA, or accessibility standards.


Other Duties


  • Stay current on emerging AI technologies, automation tools, and integration best practices.

  • Perform other duties as assigned.


Required Knowledge, Skills & Abilities


  • Bachelor’s degree in a related field with experience in AI systems, workflow automation, information systems, or technical support.

Preferred Knowledge Skills & Abilities


  • Experience with scripting or programming languages such as Python, SQL, JavaScript, or PowerShell.

  • Familiarity with cloud platforms and integrations (Azure, AWS, APIs).

  • Experience designing or supporting automated workflows and business process improvements.

  • Understanding of advanced AI concepts including RAG, multimodal prompting, and model evaluation.

  • Experience supporting AI implementation projects, user adoption, and governance.

  • Knowledge of institutional systems such as SIS, LMS, CRM, or enterprise platforms.

  • General understanding of IT infrastructure, networking, identity, and access management.


Information Technology Abilities


  • Proficiency in Windows‑based computing environments.

  • Ability to operate within institutional network systems.

  • Proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams).

  • Experience with dashboards, workflow tools, AI interfaces, and reporting software.
