Job summary

SpaceXAI is seeking a Legal Operations Specialist to own the Legal Tracker system and optimize workflows, spend controls, and reporting for the legal function. You will define operational cadences, tighten outside counsel spend, and drive efficient intake-to-close processes in a fast-paced environment handling confidential information.

The ideal candidate has deep experience with Legal Tracker, strong analytical skills, and proficiency in Google Workspace, DocuSign, and other collaboration

Qualifications

• Bachelor’s degree preferred or equivalent practical experience.
• 5+ years in legal operations or related role supporting in-house legal teams.
• Hands-on experience administering Legal Tracker (or similar system).
• Experience controlling outside counsel spend through guidelines, invoicing, and reporting.
• Proficiency with DocuSign, Adobe Acrobat Pro, Google Workspace, Notion, and Slack.

Responsibilities

• Own Legal Tracker as system of record for matters, outside counsel engagement, e-billing, invoices, accruals, and reporting.
• Configure and maintain Legal Tracker workflows, user access, matter taxonomy, rate cards, and billing guidelines.
• Drive invoice quality and compliance; identify leakage and opportunities to reduce spend.
• Produce spend, matter, and vendor reporting for legal leadership and translate data into recommendations.
• Partner with attorneys and finance on matter setup, budgets, accruals, and close processes.
• Manage day-to-day legal operations and optimize outside counsel spend.
• Coordinate special projects and cross-functional initiatives as priorities shift.
• Maintain organized systems and workflows and implement process improvements, leveraging AI tools.
