The Opportunity:

The UCF IT division within University Operations is seeking an innovative and collaborative AI Adoption & Change Management Specialist to lead organizational change management efforts that support the successful adoption of artificial intelligence (AI) and automation technologies across the university. Reporting to IT leadership, this position is responsible for developing and executing change management, communication, training, and engagement strategies that increase AI literacy, drive adoption, and promote responsible use of AI technologies among faculty, staff, and students. This position will serve as a key partner in advancing the university’s AI initiatives by building stakeholder buy‑in, reducing resistance to change, developing educational resources, and helping ensure AI solutions are effectively integrated into university operations while aligning with institutional governance, privacy, and security standards.

Responsibilities:
  • Develop and execute organizational change management strategies for enterprise AI and automation initiatives using structured methodologies such as ADKAR, Prosci, or similar frameworks.
  • Conduct stakeholder analyses, organizational impact assessments, and readiness evaluations to identify adoption barriers, training needs, and communication opportunities.
  • Create and maintain AI literacy resources, including quick‑start guides, job aids, microlearning modules, video tutorials, and knowledge base content.
  • Develop and deliver targeted communication plans, message campaigns, FAQs, leadership toolkits, and awareness materials for AI‑related initiatives.
  • Translate complex AI and technology concepts into clear, user‑friendly communications tailored to diverse audiences, including faculty, staff, and students.
  • Plan and facilitate workshops, webinars, office hours, roadshows, demonstrations, and community engagement events to promote AI adoption and capability building.
  • Collect and analyze user feedback to identify challenges, improve training materials, and enhance the overall adoption experience.
  • Partner with project teams, governance groups, the Program Management Office (PMO), and IT Service Management (ITSM) teams to align change‑management activities with technology implementations and service delivery practices.
  • Measure and monitor adoption success through metrics such as utilization rates, training participation, knowledge base engagement, and support trends; recommend continuous improvement strategies based on findings.
  • Perform other related duties in support of enterprise technology adoption and UCF IT initiatives.
Minimum Qualifications:

Bachelor’s degree and 4+ years of relevant experience; or High School Diploma (or equivalent) and 8+ years of relevant work experience in lieu of degree; or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:
  • Experience leading or supporting organizational change management, training, communications, user adoption, or technology implementation initiatives.
  • Experience developing communications, training materials, educational content, or stakeholder engagement strategies.
  • Strong verbal and written communication skills with the ability to communicate technical concepts to non‑technical audiences.
  • Experience facilitating presentations, workshops, training sessions, or stakeholder meetings.
  • Strong organizational, analytical, problem‑solving, and relationship‑building skills.
  • Ability to manage multiple priorities and collaborate effectively across diverse stakeholder groups.
  • Experience supporting AI, automation, digital transformation, or enterprise technology adoption initiatives.
  • Knowledge of organizational change management frameworks such as Prosci, ADKAR, Kotter, or similar methodologies.
  • Experience developing e‑learning content, knowledge management resources, instructional materials, or user enablement programs.
  • Experience creating communication plans, executive messaging, FAQs, newsletters, campaigns, or marketing materials for technology initiatives.
  • Familiarity with artificial intelligence, generative AI tools, prompt engineering concepts, automation technologies, and responsible AI practices.
  • Experience analyzing user adoption metrics and leveraging insights to improve engagement and training outcomes.
  • Experience collaborating with project management offices (PMO), IT service management (ITSM), communications teams, or governance organizations.
  • Experience working in higher education, large enterprise, healthcare, research, or other complex organizational environments.
  • Change management, project management, training, communications, or human‑centered design certifications preferred (Prosci, CCMP, PMP, ATD, SHRM, etc.).
