Job summary

Trego-Dugan Aviation Inc. is seeking an Operations Agent to coordinate aircraft operations, ensure on-time departures, and manage weight & balance data under guidance from supervision.

You will prepare flight documents, communicate with crews and vendors, and support daily operational tasks in a dynamic airport environment in the United States.

Qualifications

  • High School diploma or equivalent.
  • Minimum two years of experience in airport operations.
  • Proficient in Microsoft Word, Excel and Outlook.
  • Valid driver’s license.
  • Fluent English (read, write, speak).

Responsibilities

  • Establishes and maintains positive rapport with Clients, departments, and regulatory agencies.
  • Coordinates charter and passenger operations with vendors and schedules.
  • Coordinates administrative functions for safe, efficient, on-time departures.
  • Prepare flight documents including flight plans, weather briefings, NOTAMs, etc.
  • Update Flight Information Display System and load messages.
  • Monitor communications and coordinate with Supervisors on duty.

Job description

Must be able to work a flexible schedule including nights, weekends, and holidays. Hours will vary based upon flight schedules.
Number of weekly hours may increase or decrease due to seasonal flight changes.

General Purpose Of Job

The Operations Agent position is responsible for coordination of operational issues that concern the aircraft. This may include delays, cancellations, re-routing of passengers and bags, APIS, assistance with special needs, assistance with charter ground handling, and supporting the station. Must be able to effectively manage and perform the weight and balance functions in conformance with aircraft specifications, limitations, safety procedures and standards.

Essential Functions And Responsibilities
  • Establishes and maintains positive rapport and communications with all Clients, relevant departments, and regulatory agencies
  • Coordinates customer related matters with company entities and outside vendors which includes Schedule, Ad Hoc public, and private charters
  • Coordinate all administrative functions that provide for the safe, efficient and on-time departure of the airline
  • Coordinate ramp offload and loading activities
  • Prepare flight documents including flight plans, weather briefings, NOTAMs, etc.
  • Prepare and compose flight messages including arrival and departure, and load messages, etc.
  • Prepare flight schedule.
  • Prepare daily reports on domestic/international arrivals and departures
  • Update Flight Information Display System
  • Coordinate with the Supervisor(s) and Lead Agent(s) on duty the allocation of personnel as required directly or via two-way radios
  • Manage implementation of irregular operations plan
  • Accurately prepare and send LDM and CPM messages per carrier standards
  • Post flight review of flight folder ensuring all required documents and checklists completion
  • Verify baggage reconciliation prior to departure
  • Complete load planning including cargo and baggage as required
  • Prepare NOTOC for crew based on cargo load, if required
  • Accurately prepare weight and balance load sheets and trim data for the flight, if required
  • Coordinate and transmit information to centralized load control, if required
  • Coordinate fueling activities and liaise with fuelers
  • Coordinate De-icing
  • Liaise with catering vendors as required
  • Coordinate overnight aircrafts
  • Maintain records of all aircrafts, flights serviced and services performed
  • Monitors emails, computers messages, and telephone calls
  • Notify Sky Caps with wheelchairs
  • Act as Account Supervisor when Supervisor is not present.
  • Other duties as assigned by Supervisor or Manager.

PHYSICAL Demands

Must be able to work in a high-pressure environment. Must be able to carry 70 pound suitcase from the floor to 18 inches and carry 70 pound suitcase in front of you with both hands for a distance of up to 25 feet; must have physical dexterity sufficient to perform repetitive tasks and motions, including bending at the waist and knees, squatting, kneeling, crawling, twisting and sustaining those positions for extended amounts of time. Must have sufficient vision and ability to safely perform the essential functions of the position.

Work Environment

Airport environment: Indoors and Outdoors. Extreme outdoors conditions where extreme temperature ranges may be encountered.

Other Requirements And Qualifications
  • Education: High School diploma or equivalent
  • Experience: Minimum Two (2) years of experience in airport operation environment
  • Knowledge: Computer literate with proficiency in Microsoft Word, Excel and Outlook
  • Position from which an employee could be promoted into this: Ground Operations Agent.
  • Must be able to work under pressure.
  • Must be able to work alone and use independent judgment.
  • Capable of handling multiple tasks simultaneously.
  • Ability to work rotating shifts including weekends (i.e. Friday, Saturday & Sunday), holidays and days off.
  • Ability to read, writes, fluently speak and understand the English language.
  • Must possess a valid driver’s license.
