Position Title:After School Academy Manager Employment
Type:Non-exempt, full-time.Salaried with Benefits. Occasional hours including some weekends and evenings may be required.
Pay Range: $70,000-$75,000
Reports To:Executive Director
Supervises:After School Academy Instructors, Site Leads, and Volunteers
Work Days/Hours: Hours may vary, but typically Monday - Thursday 9:30am – 6:00pm, Friday open schedule; additional hours may be required.
Position Summary:
VCRC seeks a full-time After School Academy Manager with excellent leadership skills to deliver our K-8th grade After School Academy in Brentwood and Byron and spearhead programs at other sites/districts across Eastern Contra Costa County. The ASA Manager is responsible for innovative planning, program delivery, inspirational volunteer management, rigorous quality control and evaluation.The ideal candidate will support families and guide students to discover their voice and potential by acting as a positive adult role model, coach, and mentor. This role is about fostering a meaningful learning environment where achieving educational equity is paramount and every child has access to resources that empower them to be successful and have a lifelong passion for learning. This role demands a flexible, resilient individual who can navigate a fast-paced environment and can easily communicate with school officials, staff, volunteers, donors/funders, parents and of course the children to meet objectives and deadlines. About Village Community Resource Center:
Village Community Resource Center (VCRC) is a community-based nonprofit organization that serves struggling families in Far East Contra Costa County. VCRC’s mission is to provide information, support, and coordination of resources to empower and improve the quality of life of disadvantaged children and their families in a culturally sensitive environment.We work with children and families on challenges teaching them to be responsible for choices, live with integrity and honesty, become self-sufficient and educated citizens with the hope of nurturing lifelong learners.We strengthen our community by providing prevention-based education and youth development, health, and family leadership programs.
Essential Knowledge and Skills:
● Knowledge base of core elementary school subjects and developmental needs of school age children.
● Knowledge of and sensitivity to the challenges faced by immigrant communities, those living in poverty and the effects of stress under insecurity.
● Strong classroom and behavioral management skills.
● Dependable, organized, takes initiative, has good judgment and is able to function with minimal supervision.
● Able to communicate openly in a professional manner and collaborate with stakeholders.
● Demonstrated experience in problem solving, balancing priorities, and management of multiple tasks.
● Personal qualities of integrity, credibility, maturity, confidence and commitment.
Requirements:
● Required:(a) Associate Degree or higher, (b) 48 or more college units, or (c) equivalent experience
● Preferred: B.A. or higher, coursework in early education.
● Preferred: Fluency in both English & Spanish (written and verbal)
● Required: 2 years experience working with elementary school-age youth in a classroom setting, after school, or recreation environment with supervisory experience.
● Required: Must pass Live Scan (criminal background check via fingerprinting)
● Be able to lift 25 lbs
● Experience using Customer Relation Management (CRM) software such as Salesforce and Project Management software such as Asana.
DUTIES AND RESPONSIBILITIES
Program Development:
● Employ training program for After School Academy Staff and volunteers.
● Responsible for supervision, implementation, & successful delivery of the K-8th grade After School Academy programs (including but not limited to ASA, ASA summer program, and Leadership Program).
● Support students in developing the skills they need to be successful in school and life.
● Create and implement fun, engaging developmentally appropriate activities in the areas of literacy, mindfulness, SEL, project based learning, STEAM, fitness and recreation, academics/enrichment.
● Responsible for immediately reporting & documenting injuries or incidents to parents & Program Director.
● Maintain an accurate inventory of program supplies ensuring program readiness and clean/orderly space.
● Design a program schedule/calendar that includes a variety of educational, enrichment, and recreational activities that align with VCRC’s strategic goals.
● Develop strategic plan goals for ASA programs with measurable outputs and monitor/report progress.
● Assist in creating/maintaining a budget for ASA programs.
● Assist and promote fundraising initiatives for the ASA programs and VCRC in general, as appropriate.
● Build relationships with VCRC leadership, staff students, and families; communicating on a regular basis.
● Communicate effectively and in a professional manner with school administrators, school staff and parents on a regular basis regarding program activities and all other stakeholders.
● Make programmatic changes based on organizational requirements.
● Clearly convey messages regarding organizational policies, procedures and practices.
● Recognize potential issues and apply procedures and problem solving methods as needed.
● Observe staff, volunteer, and student behavior, assess its appropriateness and apply the appropriate behavior management technique, positive redirection, or corrective action as necessary.
Program Management:
● Plan and manage student recruitment, registration, ASA calendar, and ASA events, ensuring seamless delivery.
● Conduct and/or contribute to monthly parent meetings.Collaborate/Coordinate with VCRC’s Leadership and Community Building programs.
● Connect adult family members to other VCRC programs.
● Provide support to individuals or clients, such as conducting needs evaluations, resolving complaints, etc.
● Meet site based goals and compile data regarding program outcomes and program improvement plans.
● Maintain all necessary program documentation, ensure database accuracy, produce reports in a timely manner.
● Coordinate the activities, supervise, train, coach, and manage ASA program staff and volunteers to ensure that programs are of appropriate quality and that resources are used effectively.
● Participate in continuing education and training opportunities.
● Effectively empower others to reach their goals and increase their levels of responsibility.
● Communicates regularly with the Executive Director to ensure consistency and quality with programs.
● With the Program Director, as appropriate, recruit, interview, orientate, train, and recognize ASA staff, interns, and volunteers.
● Provide staff with monthly documented coaching as well as monthly goals to support staff professional development.
● Provide performance management, feedback, and timely performance evaluations.
● Awareness of and adherence to program budget.
● Build relationships with existing and new partners to implement programs that reinforce program success.
● Serve as liaison to schools through regular communication with teachers and administrators.
● Prepare effective written and printed materials that support the after school community in English and Spanish.
● Assist in marketing of programs for growth and retention.
● Coordinate and manage the registration process, including preparing, distributing, and reviewing applications for enrollment in the after-school program.
● Design, implement, and oversee a leadership development program for 6th–8th grade students, fostering skills in communication, teamwork, responsibility, and community engagement within an after-school academy setting.
OTHER RESPONSIBILITIES ● Adhere to VCRC safety expectations, implement the safety plan at the site, and carry out drills. ● Report all absences, no-show, tardiness, or requests for time off to the Administration Coordinator. ● Support and implement human resource policies and procedures. ● Attend VCRC meetings and training (management, collaboration, staff, and others) as required. ● Maintain the highest degree of confidentiality in student, staff, volunteer, and management matters. ● Perform other duties as assigned. ● Provide Volunteers with monthly documented support. GOAL for the first 3 months: ● Program Assessment & Planning: Conduct a full review of current ASA operations, curriculum, and outcomes. Engage with staff, students, and families to identify strengths, challenges, and areas for enhancement. ● Staff & Volunteer Engagement: Meet individually with current staff and volunteers to assess training needs, boost morale, and outline expectations. Ensure all are up to date on required training and feel supported during the transition. ● Registration & Recruitment: Increase outreach and recruitment efforts to stabilize or grow enrollment. Target numbers for Fall, 2025: Brentwood: 50; Byron 30.
