This ideal candidate will be proactive, organized, and detail-oriented, capable of managing various tasks, maintaining internal systems, and coordinating across teams. Strong communication and multitasking skills are essential.Responsibilities:Oversee new client entry and system management, including document and client database systems; create and manage client records, track job statuses, update systems regularly, and ensure timely cleanup and complianceManage shared inboxes to ensure seamless team-wide communicationOrder and manage catering for meetings, lead event planning and execution for group events, organize internal networking meetings, and handle logistics for group meetingsOversee meeting logistics, including agenda review, scheduling, room setup, food and drink arrangements, and technical support, and act as the primary event contactPrepare and process client engagement letters, scope of work documents, and nondisclosure agreements ensuring accuracy and complianceOversee new hire onboarding processes, including task tracking, meeting scheduling, and supplemental materials are providedSubmit external CPE requests, obtain documentation for internal training, and liaise with KSM Learning for process updatesTravel Coordination: Arrange travel bookings, including flights, accommodations, and transportationPrepare and submit department credit card expense reportsComplete unique tasks or special assignments as requested, demonstrating adaptability and problem-solving skillsProvide support with quarterly reviews, including preparation and organization of related documentationAddress team requests, work closely with advisory team members, and support various projects and initiativesQualifications:3+ years of administrative or operational experience, preferably within finance, or a professional services firmStrong organizational and time-management skillsExcellent and proactive written and verbal communicationProficient in Microsoft Office Suite, especially Excel, Teams, and OutlookAbility to multitask and manage competing priorities in a fast-paced environmentDetail-oriented with a focus on accuracyProactive problem-solver with a customer-service mindsetAbility to handle confidential information with professionalismStrong collaboration skills and ability to work across multiple teamsWe are an equal opportunity employer.
