Overview
The Specialty Clinical Resource Hub (Specialty CRH) Advanced Medical Support Assistant (AMSA) is responsible for ensuring CRH services are completed to the highest standard and in alignment with national CRH standards. The Specialty CRH AMSA will coordinate with various site facilities and other VISN MSAs to ensure scheduling practices and standards are implemented across the VISN.
Responsibilities
- Significant portion of CRH services will be completed virtually across facilities; the AMSA will assist VISN facilities by managing complex scheduling actions and ensuring compliance with Office of Veterans Affairs scheduling directives and practices.
- Exercise organizational skills, problem-solving ability, and content expertise in scheduling programs and best practices.
- Communicate effectively with field staff and VISN CRH leadership on administrative priorities related to scheduling, order processing, and consult management.
- Complete test calls with patients scheduled for Veterans Video Connect (VVC) appointments to verify video connectivity.
- Schedule patients virtually on the day of appointment to minimize provider troubleshooting time.
- Process medical release of information requests in compliance with Privacy Act, FOIA, and HIPAA.
- Initiate and carry out clerical duties related to patient care and treatment of CRH specialty clinics.
- Answer telephone calls and record messages related to laboratory reports, x-rays, and basic medical/pharmacy information.
- Recognize and refer urgent issues to professional staff for immediate action.
- Provide courteous, respectful service to patients, co-workers, and the public at all times.
- Provide front-line assistance to customers with questions or concerns; apply discernment and sensitivity when performing tasks to resolve issues accurately and timely.
- Facilitate follow-up to ensure satisfactory resolution.
- Process administrative interfacility consults and ensure timely scheduling of Veterans' appointments.
- Manage the daily appointment list, including scheduling, cancellations, or no-shows.
- Orient new medical staff and trainees to patient file locations and CPRS/VISTA/Visual Aid; train others in clerical duties in telehealth.
- Participate in team huddles/meetings to manage and plan patient care within interdisciplinary coordinated care delivery models.
- Work Schedule: Monday-Friday, 8:00am - 4:30pm. Telework: available on ad-hoc basis. This is not a virtual position.
Requirements
- Conditions of Employment: You must be a U.S. citizen to apply. Selective Service registration is required for males born after 12/31/1959. Proficient in written and spoken English. Background/security investigation required. Online onboarding may be required. Real ID compliant identification required for employment after May 7, 2025. Seasonal influenza vaccination program participation is required for all VA Health Care Personnel.
- Education and Experience (Basic Requirements): United States Citizenship. Six months clerical/office/customer service/administrative experience; OR one year above high school; OR an equivalent combination of experience and education.
- Certification: None required. Foreign education must be evaluated for creditability. May qualify under Grandfathering provisions for current VA employees in this occupation.
- Grade determinations: GS-06 Medical Support Assistant (Advanced); one year of experience equivalent to GS-5; demonstrated KSAs including collaboration across disciplines, priority setting and time management, effective communication with internal and external customers, and advanced knowledge of healthcare processes and policies related to interdisciplinary care and scheduling.
- Preferred experience: Minimum of two years of experience in a medical office, hospital, outpatient/inpatient clinic, call center, or ancillary service is highly preferred.

Reference: The full performance level of this vacancy is GS-6. There is no education substitution at this grade level. This job opportunity may be used to fill additional vacancies.
