Nexus Family Recovery Center in Dallas, Texas is seeking an Admissions Receptionist to greet clients and coordinate front-desk operations. You will process paperwork, schedule appointments, and direct visitors with a friendly, professional demeanor.

As the first face clients see, you’ll maintain strict confidentiality, adhere to HIPAA, and support the Admissions team with intake activities, data entry in Intellium, and basic UA processing as needed.

Qualifications

  • High school diploma or GED is required.
  • Associate’s degree or equivalent preferred; or related experience.
  • Experience in customer service or front-desk roles is beneficial.

Responsibilities

  • Supports Admissions team with paperwork and intake in a compassionate manner.
  • Enters new admits into Intellium and logs initial urine drug screen.
  • Maintains documents and manages referral lists in CMBHS and waitlists.
  • Ensures confidentiality and HIPAA compliance in all interactions.
  • Directs visitors and answers questions from families and clients.

Additionally, the Receptionist is responsible for coordinating office tasks, including directing visitors and callers, responding to questions from family members and new admission clients, and responding to client questions.Essential Duties & ResponsibilitiesSupports the Admissions team with incoming clients by providing clients with appropriate paperwork and helping to get clients into Admissions in an efficient, compassionate manner.Enters all new admits into the Intellium system and logs their initial urine drug screen.Assist admission counselors by helping with property searchConduct client UA’s and help them change into scrubs.Maintain an adequate number of all printed documents used in the admission department.Assist with the management of the referral list in CMBHSAssist with managing the waitlist in CMBHSLearns and adheres to all confidentiality rules relating to clients, client information, financial information, and other private information.Ensures services delivered as in line with the Nexus Mission and ValuesOther duties within the organization as assigned.CompetenciesSpeaks clearly and professionally with clients, families, and staffProficient in the use of office technology tools such as Microsoft Outlook, Excel, Teams, etc.Writes accurately and professionally in emails and documentationDemonstrates active listening and empathy during sensitive conversationsCreates a welcoming, nonjudgmental environment for all visitorsHandles concern calmly and with discretionUnderstands the stress clients and families may be under and responds with compassionMaintains strict confidentiality of client records and interactionsUnderstands and adheres to HIPAA and agency privacy policiesBalances phone calls, walk-ins, appointment coordination, and administrative tasksPrioritize tasks effectively in a fast-paced environmentPresents a calm, helpful, and respectful demeanor alwaysDresses appropriately and reflects the values of the organizationAbility to learn and use EMR/EHR systems.Uses email, phone systems, printers, and scheduling tools efficientlyInteracts respectfully with clients from diverse backgroundsUnderstand trauma-informed principles and how to support individuals in crisisEducation & ExperienceHigh school diploma or general education diploma required.
