Job Description
The Admissions Coordinator supports the effective delivery ofstudent recruitment and admissions, applicant services, andenrollment operations throughout the full application cycle. Therole coordinates applicant tracking, application review, readeronboarding and support, and admissions documentation to promote anefficient and consistent review process. Serving as a key point ofcontact for applicants, families, educators, and partners, theposition evaluates and resolves complex inquiries, providesaccurate guidance across programs and admissions requirements,audits frontline responses, and maintains helpdesk knowledgeresources.
The position also coordinates virtual and in-person recruitmentevents, including event research, logistics, staffing,communications, materials, and on-site representation. It tracksparticipation and recruitment outcomes, assesses eventeffectiveness, and recommends improvements informed by data andstakeholder feedback. In addition, the role maintains admissions,recruitment, enrollment, scholarship, and award data; monitors dataquality; produces reports and leadership summaries; and developspartner, donor, and stakeholder communications that highlightstudent experiences, outcomes, and program impact.
Job Responsibilities
Admissions Operations
- Support admissions operations throughout the application cycle,including maintaining applicant tracking and enrollmentactivities.
- Assist with application review activities and participate inthe admissions review process using established evaluationcriteria.
- Assist with onboarding application readers and supportingapplication readers throughout the admissions cycle.
- Facilitate communication between admissions readers andinternal staff to ensure an efficient review process.
- Maintain admissions procedures, documentation, and operationalresources to promote consistency across application cycles.
Applicant Support and Helpdesk Operations
- Serve as a point of contact for applicant, parent, educator,and partner inquiries throughout the admissions and enrollmentprocess.
- Triage helpdesk cases by reviewing contact history, priorinteractions, and related issues and applying deep knowledge ofprogram and course offerings, requirements, and ongoing initiativesto accurately assess each inquiry and determine the appropriatecourse of action.
- Resolve helpdesk cases related to applications, enrollment,programs, competitions, and general admissions questions, providingaccurate and consistent guidance while meeting established servicestandards.
- Audit Tier 1 helpdesk responses to ensure accuracy,consistency, and quality of customer service.
- Lead annual maintenance and enhancements to Helpdesk KnowledgeBase documentation by updating and organizing supportresources.
Recruitment Events Coordination
- Research events, fairs, and conferences that align with targetaudiences and support lead generation, with manager oversight.
- Coordinate logistics, registration, and staffing for virtualand in-person recruitment events.
- Attend recruitment events as needed to provide additional staffsupport.
- Maintain recruitment calendars and coordinate event schedulesacross the unit.
- Prepare and distribute recruitment materials, eventcommunications, and presenter resources.
- Track event participation, campaign performance, andrecruitment outcomes. Evaluate which events, fairs, and conferencesprovide the most return, and communicate data and results withleadership.
- Collect participant and staff feedback and recommendimprovements to recruitment programming and event operations.
Data, Reporting, and Administrative Operations
- Maintain accurate admissions, recruitment, and enrollment datain Salesforce and other systems.
- Generate routine and ad hoc reports to support admissionsplanning, enrollment management, and leadershipdecision-making.
- Monitor data quality and resolve inconsistencies acrossadmissions and recruitment systems.
- Compile scholarship and award data, maintain documentation, andsupport scholarship communications.
- Prepare communications for partners and stakeholders acrossvarious formats, including student bios, donor summaries, studentsuccess stories, and impact narratives.
- Compile admissions and recruitment data and prepare summariesfor leadership.
Qualifications
Required
- Bachelor's degree and two to three years of professionalexperience in admissions, customer service, higher education,program administration, student services, enrollment management ora related field.
- Demonstrated organizational skills and the ability to managemultiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills with a strongcommitment to customer service.
- Strong attention to detail and demonstrated ability to identifyand resolve data inconsistencies.
- Proven proficiency with Microsoft Office Suite.

Preferred
- Experience supporting admissions or recruitment operations in ahigher education setting
- Familiarity with Salesforce, Airtable, or other customerrelationship management (CRM) or database systems.

- Availability for occasional evening or weekend work and travelrelated to recruitment events.
