Important to note: this is a three-year position subject to renewal based on funding and performance.


Purpose

The Admissions Assistant is a full-time position that is responsible for assisting in the successful operations of the Visitor and Volunteer Services Department while delivering exceptional customer service to all museum visitors. This role is a key team member tasked with checking in visitors, selling admission tickets and memberships onsite, and providing basic museum information to visitors. Additional duties include compiling deposits and reporting. This position reports to the Assistant Director of Visitor and Volunteer Services.


Responsibilities


  • Deliver an exceptional, welcoming visitor experience that drives repeat visitation, membership conversion, and positive word-of-mouth.

  • Check in visitors (individuals and groups), process admissions, and promote memberships and other revenue opportunities.

  • Handle all point-of-sale transactions including credit cards, cash, and coupons.

  • Actively support sales goals through outreach, upselling, and membership promotion.

  • Process group sales and maintain CRM records, ensuring accurate data entry and related administrative support.

  • Respond to visitor and member inquiries and resolve issues in person; monitor voicemails online or via email in a professional and timely manner.

  • Stay informed on exhibitions, programs, and campaigns to provide accurate information and support promotion efforts.

  • Collaborate across departments to encourage membership and enhance visitor engagement.

  • Provide visitor service support at the Blanton Museum's Kelly Building (BMK) by standing to greet and direct guests, monitor attendance, and answer visitor questions.

  • Assist with “Lost & Found” management, “Kid's box” restocking, and “MakeWild” duties.



  • Prepare daily deposits and assist with basic accounting reconciliation.

  • Generate and distribute admissions, attendance, and related reports.



  • Answer phones and manage departmental messages.

  • Support supervision of student workers and volunteers as needed.

  • Maintain inventory of printed materials and ensure signage is current and properly displayed.


Required Qualifications


  • High school diploma or GED.

  • Must be able to work Wednesday through Sunday (non-standard work week). Holiday hours may be required. Additional hours may be required during peak periods and museum events.

  • 1 year demonstrated experience with clerical functions to include: ticketing systems, constituent database, cash register, or point of sale equipment.

  • Experience in a position that requires a high degree of accuracy; detail-oriented.

  • Must enjoy working with public and display strong customer service skills. Ability to be courteous while confidently enforcing museum policies with all visitors.

  • Skilled in the use of PC or Mac computers and basic office software (MS Word and Excel).

  • Strong, pro-active communication and interpersonal skills (both verbal and written).

  • Works well with interruptions and can multi-task.


Relevant education and experience may be substituted as appropriate.


Preferred Qualifications


  • Bachelor's degree or higher in Art, Art History or Business.

  • More than the above 1 year demonstrated experience with clerical functions.

  • Experience with Tessitura or Altru database and ticketing system.

  • Customer service experience in a box office, hotel, museum, or theater.

  • Art museum or K-12 teaching experience.

  • General interest and knowledge of the arts, Austin, and UT Austin.


Salary

$40,000


Working Conditions


  • Requires working with the public.

  • May work around standard office conditions.

  • Repetitive use of a keyboard at a workstation.

  • Must be able to separate ticket stock as needed.

  • Requires remaining in a stationary position for extended periods of time.


Work Shift


  • Wednesday – Sunday (non-standard workweek).

  • Holiday hours may be required.

  • Additional hours may be required during peak periods and museum events.

Employment Eligibility

Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers. Retirement Plan Eligibility

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
