Longplay is an e-commerce marketing agency focused on retention to drive scalable, sustainable and profitable growth of DTC brands. The agency was built on the principles of sustainable growth & partnership, both within our own company and with our clients. These principles have allowed Longplay to scale to 7-figures in annual revenue within 18 months of launch and since then, we have grown to a fully distributed team of 20+ and are on track to continue to grow exponentially.

Providing an accurate strategy is crucial to the successful execution of Longplay’s client campaigns.As we scale, we are seeking a highly organized and proactive Admin/Ops Assistant (Contractor) to support our COO and Partner in managing daily operations, documentation, and strategic workflows. This is a high-impact, remote contract role ideal for someone who thrives in a fast-paced agency setting and excels at problem-solving and strategic thinking.

Key Responsibilities

Executive Support & Scheduling:

  • Manage calendars, schedule meetings, and coordinate across multiple time zones.
  • Prioritize tasks and ensure the COO and Partner stay on track with key deliverables.

Inbox & Communication Management:

  • Monitor and manage executive inboxes, responding to or flagging critical emails.
  • Draft emails, internal memos, and client communications as needed.

Operations & Documentation:

  • Maintain and update Standard Operating Procedures (SOPs).
  • Assist with reporting, data entry, and internal documentation.
  • Track agency KPIs and support reporting for internal and client needs.

Strategic & Critical Thinking:

  • Identify inefficiencies and recommend process improvements.
  • Support decision-making with research, insights, and action plans.

Fast-Paced Agency Support:

  • Adapt quickly to changing priorities in a high-growth environment.
  • Communicate effectively with team members and clients in a professional manner.

Who You Are:

  • Highly Organized & Detail-Oriented – You can juggle multiple tasks without letting anything slip through the cracks.
  • Excellent Communicator – Strong written and verbal communication skills.
  • Tech-Savvy – Comfortable with remote tools like Slack, Google Suite, Asana, and Notion.
  • Proactive & Self-Sufficient – You take initiative and don’t wait for direction.
  • Fast Learner – Able to quickly adapt to agency workflows and industry-specific tasks.
  • Experience Working Remotely – You know how to manage your time and collaborate in a virtual environment.

Preferred Qualifications:

  • 2+ years of experience in administrative, operations, or executive assistant roles.
  • Previous experience in marketing, e-commerce, or a digital agency environment is a plus.
  • Familiarity with project management tools (e.g., Asana, ClickUp, Notion) is a bonus.
