Position Summary
The Administrator is accountable for the management, control and operation of the nursing home campus and sets the tone to ensure a home‑like atmosphere. The Administrator operates the nursing home in a manner that is an effective and efficient use of its resources to realize the ultimate goal of attaining and maintaining the highest practicable physical, mental and psychosocial well‑being of each resident. The responsibilities of the Administrator include ensuring quality resident care through compliance with all federal, state and local laws as well as retaining highly trained, happy and motivated staff. Administrators are charged with creating, demonstrating and setting expectations for a culture of collaboration, compassion, and customer service that will strongly encourage staff to self‑report areas of improvement and ensure residents’ rights are protected.
Essential Responsibilities And Duties
Resident Care and Support
- The admission process is comprehensive and resident‑centered
- Plans of care are drafted, implemented and maintained for every resident based on INP
- Quality of living is maximized through continual monitoring of resident progress and correlated recommendations for the best care environment
- All staff are trained and follow state and federal guidelines related to resident rights; issues related to abuse, neglect and misappropriation of resident property are addressed thoroughly and immediately
- A formal Quality Assurance Program Initiative is created, reviewed and continually updated with a focus on strategically determining how each staff member influences residents’ individual needs
- A strong culture of customer service to facilitate a resident‑centered experience
- Residents are properly evaluated and cared for based upon their psychosocial needs and preferences
- Residents and their support network are regularly informed of their care, condition and treatment
- Resident‑specific documentation is protected and follows state and federal regulations including HIPAA
- Doctor’s orders are strictly followed, and policies and procedures are in place to assure compliance
- Individualized rehabilitative services are provided to assist residents to meet their baseline and facilitate them to be as independent as possible
- A clean, safe, maintained and sanitary environment via housekeeping, laundry, and maintenance
- Recreation, events and programs are resident‑centered and designed to meet INP
- Nutritional needs are met in accordance with INP while meeting all physician’s orders
- Services from qualified vendors are available to meet the needs of residents
Staff
- Administrator creates a culture of high employee satisfaction and competence through consistent recruitment, selection, orientation, training, development, and continuing education opportunities
- Retention of staff through continuous, honest feedback, timely performance appraisals, and fostering a customer‑service‑focused culture
- Consistent utilization of corporate corrective action process including objective, thorough and timely investigations that may require suspension of involved staff pending outcome
- Creates an environment where staff can communicate concerns without fear of retaliation
- Ensures staff records are complete, maintained and secure from unauthorized access
- Manages, supports and grows competent department directors, holding them accountable for the staff they manage
Finance
- Creates accurate budgets based on income, expenses and capital improvements
- Oversees billing and collections and monitors accuracy of charges and timely collection of accounts
- Ensures systems exist so each recipient understands their bill and pays the facility promptly
- Ensures staff are trained in payroll, accounts receivable, billing, accurate record keeping, internal controls, trust accounts, and HIPAA
- Communicates and collaborates with Corporate Finance
- Approves all purchases, maintaining compliance with purchase order system and invoicing timelines
- Monitors, approves and communicates staff hours and overtime expectations
Environment
- Maintains facility, grounds, equipment, emergency systems, fire systems, sprinklers, and other equipment to ensure legal compliance
- Plays a role in infection control and sanitation through training, supplies, and communication
- Manages an effective disaster preparedness program including regular staff training and coordination with emergency agencies and vendors
- Ensures environmental, housekeeping and laundry services meet or exceed legal requirements
- Ensures HIPAA‑compliant technology infrastructure and safeguards
- Maintains a safe, clean, secure and accessible home‑like environment for residents, staff and visitors
Management and Leadership
- Promotes and sets expectations for ethical practice across the facility
- Champions the mission, vision, values and strategic plans of Monarch Healthcare Management and integrates them into daily operations
- Advances satisfaction of residents and their support networks through visits, surveys, mock inspections and daily stand‑ups
- Collaborates with department directors to discuss and solve departmental issues
- Maintains survey readiness and responds to inspections with appropriate training, reporting and corrective action
- Adheres to Monarch Vulnerable Adult policy and procedures, mitigating liability and risk
- Reviews quality assurance systems regularly
- Reports major issues to Regional Director of Operations and/or VP Operations on staffing, purchases, policy changes
- Collaborates with VP Assisted Living Communities for compliance in assisted living portions, if applicable
- Performs duties of HIPAA Compliance Officer and works with Health Information staff
- Willingness to work some evenings and weekends as directed
Qualifications
Education and Experience
- Bachelor’s degree in healthcare administration or related field
- Current Minnesota Nursing Home Administration license
- If Administrator Designee, ability to obtain license promptly and permission from Regional Director/VP Operations
Preferred
- 2+ years experience as a long‑term care administrator
- Experience in both skilled nursing and assisted living facilities
