As Assistant and Quality Assurance Agent, under the joint supervision of the Center Director and the Head Quality Assurance, your administrative role is mainly to contribute to the efficiency, smooth functioning and achievement of the Department’s objectives. As a quality assurance agent there will be a process of continuous improvement of the service offered by Portage, by ensuring that the quality standards established are maintained in the center.
Makes the staff schedule, prepare and pay in UKG software
Answer the phone, completes any related tasks to HR department
Updates relevant information in the resident’s database and employee database
Ensures that the regulations relating to confidentiality, up keeping, safeguarding and destruction of files are known and applied in the center
Encourages and gives priority to the respect of the best quality standards of the organization
Participate in the search for solutions and the development of procedures in collaboration with the director of the center and the Quality Assurance Manager
Follows up on file requests in collaboration with the quality assurance manager and the administration
Oversees the proper performance of satisfaction evaluation
Quality Assurance tasks
Trains staff members expectations regarding clinical case management as well as train them to respect confidentiality
On reporting incidents and accidents related to resident’s safety in collaboration with the Risk Management Analyst
On expectations regarding security and emergency measures (including the tour of the center with new staff members and the associated certification process)
Participates to the training of staff members responsible for residents’ committees in collaboration with the users’ committee; and the ongoing presence of its committee in his/her center
Performs annual reminders of certain training sessions according to the needs and schedule of Portage’s ongoing training
Collaborates with the quality assurance manager and the training department for the creation and development of new trainings; and disclose any amended policies and procedures.
Participates in evaluation activities related to Portage’s quality and security standards (e.g. survey for staff members); and monthly teleconference with the other Quality Assurance Agents Establish an annual quality improvement plan in collaboration with the Quality Assurance Manager and submit their observations, ideas and continuous improvement projects to the Quality Assurance Manager
Participates in the monthly teleconference of residents’ committees in place of the responsible staff member if the latter cannot be there
Establishes an annual quality improvement plan in collaboration with the Quality Assurance Manager & submit observations, ideas and continuous improvement on the projects
Reports to the Center Director and the Quality Assurance Manager any situation that does not meet established or prescribed quality standards
Hold a college/technical diploma or university degree in a field related to the position
Minimum 2 of experience in a therapeutic community or care setting
Any other relevant experience or studies will be considered an asset
Language: English and French (asset)
Very good knowledge of Microsoft Office
Autonomy, empathy, organizational skills, initiative, excellent analytical and evaluation capacity
Be able to handle sensitive and confidential information
Ability to work in a team setting
Job Type: permanent, full-time, 35 hours per week
Schedule: Monday to Friday – Day shift
Salary: to be discussed according to experience
Available for occasional travel
