Job summary

Four Seasons in Western North Carolina seeks an Administrative Team Leader to direct the Administration & Technology Team, ensuring efficient workflows, strong operations, and cross-department collaboration. The role supports patient- and family-centered care through administrative excellence.

Reporting to the Chief Security Officer, you will mentor staff, uphold HIPAA and regulatory standards, and drive performance improvements.

Qualifications

  • High School Diploma or GED required.
  • Education in healthcare administration preferred.
  • Minimum 3 years’ experience as an administrative assistant in a healthcare setting.

Responsibilities

  • Lead and supervise Administrative staff to ensure efficient workflows and operations.
  • Collaborate with leadership to support the organization’s mission and goals.
  • Drive continuous quality improvement through audits, charts, and processes.
  • Maintain and update administrative policies and procedures for the organization.
  • Foster effective communication and teamwork across departments.
  • Oversee supply ordering and cost-control practices for all regions.

Summary

The Administrative Team Leader is responsible for the direct leadership and supervision of the Administration & Technology Team’s Administrative staff, ensuring efficient workflows, excellent operations and team success. This role serves the mission, vision and values of the organization by collaborating with other leadership staff and departments within the organization to ensure effective administrative support is provided at all times to achieve goals that contribute to the growth and efficiency of the organization.

Essential Duties & Responsibilities
  • Work to achieve performance goals, pursue progress toward my learning plan (MLP) and demonstrate Four Seasons values and competencies
  • Contribute to a climate that promotes growth, development and teamwork throughout Four Seasons
  • Encourage and develop skill advancement amongst team members through 1:1s, training, and on-going competency review
  • Actively participate in leadership team, collaboratively working to ensure efficient, effective operations to support the Mission and Vision of the organization
  • Be a part of the collaborative leadership team that ensures the IDG documents the provision of patient’s and family’s physical, psychosocial, environmental, spiritual, safety and developmental needs.
  • Actively participate in continuous quality improvement activities (i.e. quality monitoring, chart audits, PIPs, task forces, etc.) and promote a culture of continuous quality improvement throughout the organization
  • Collaboratively develop and maintain administrative Polices & Procedures for Four Seasons
  • Create, collaborate and manage internal processes and best practices for administrative staff on the Administration & Technology Team, effectively collaborating within the work of a group
  • Encourage effective communication
  • Fosters an environment of teamwork and service excellence within the Administrative & Technology Team
  • Identify and collaboratively resolve issues that might arise amongst the team

  • Knowledge of HIPAA privacy policies.
  • Advanced proficiency in MS Office: Outlook, OneNote, Word, Excel, PowerPoint, etc.

Minimum Qualifications
Education
  • High School Diploma/GED required
  • Education in a healthcare field, such as a C.N.A program of study, Medical Records, or Healthcare Administration, preferred
Experience
  • Minimum 3 years’ experience as an administrative assistant in a healthcare setting
  • Demonstrated proficient computer skills with MS Office products
  • Demonstrated excellent customer service and communication skills
Licensures & Certifications
  • Valid driver’s license and proof of automobile insurance
