Job summary

BeVera Solutions, LLC is seeking a highly organized Administrative Support Specialist to provide on-site administrative support to the CDC’s Division of High-Consequence Pathogens & Pathology (DHCPP).

The successful candidate will handle guest researcher and non-FTE staff logistics, travel, grants and agreements, purchasing, and program operations, requiring strong communication, attention to detail, and the ability to manage multiple priorities in a federal environment.

Qualifications

  • Bachelor’s degree preferred; equivalent relevant administrative experience may be considered.
  • Demonstrated experience providing administrative or program support in a professional environment.
  • Strong organizational skills and demonstrated ability to manage multiple assignments and competing priorities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Responsibilities

  • Develop and apply effective administrative methods and procedures to support DHCPP program operations.
  • Gather information, identify administrative issues, troubleshoot problems, and develop recommendations for resolution.
  • Initiate and process new and renewal guest researcher packages and monitor existing assignments.
  • Track guest researcher agreements, and other non-FTE staff assignments to support continuity of employment.
  • Review administrative packages for completeness and ensure required documentation.
  • Coordinate responses and requests related to peer review submissions, international travel procedures, and visas for guest researchers.
  • Participate in meetings with program staff to understand administrative processes, procedures, assignments, and priorities.
  • Serve as an administrative liaison between DHCPP program offices and administrative organizations.
  • Provide guidance and customer service regarding administrative policies and procedures, including travel, guest researcher processes, and peer review.
  • Maintain timely and professional communication regarding the status of administrative actions and requests.
  • Assist with documentation and processing associated with grants, cooperative agreements, interagency agreements, staff travel, and purchases.
  • Prepare monthly technical progress reports documenting accomplishments, issues, corrective actions, and anticipated activities.
  • Prepare an annual Year-End Summary Report documenting accomplishments, results, issues encountered, corrective actions, and major activities.
  • Maintain accurate records and follow established federal and program-specific procedures.
  • Perform multiple administrative assignments independently while meeting deadlines and maintaining a high level of accuracy.

This role is part of a pre-award candidate search for an upcoming federal government contract. Employment is contingent upon BeVera Solutions receiving the contract award, final Government approval, funding, and any applicable client or contract requirements.

Job Description Essential Duties

BeVera Solutions is seeking a highly organized and detail-oriented Administrative Support Specialist to provide on-site administrative support to the CDC’s Division of High-Consequence Pathogens & Pathology (DHCPP).

The successful candidate will support a broad range of administrative activities associated with guest researchers, non-FTE personnel, travel, peer review, grants and agreements, purchasing, and program operations. This position requires strong analytical and organizational skills, independent judgment, excellent written and verbal communication, attention to detail, and the ability to manage multiple priorities in a complex federal environment.

Key Responsibilities
  • Develop and apply effective administrative methods and procedures to support DHCPP program operations.
  • Gather information, identify administrative issues, troubleshoot problems, and develop recommendations for resolution.

Preferred Qualifications
  • Experience supporting a federal government, public health, research, scientific, healthcare, or regulated organization.
  • Experience with CDC, HHS, federal administrative processes, or government contracting.
  • Familiarity with federal policies, procedures, and administrative documentation requirements.
  • Experience coordinating across multiple offices or organizational stakeholders.
  • Experience processing guest researcher, fellowship, non-FTE, visa, clearance, or onboarding documentation.
  • Experience supporting international travel or travel authorization processes.
  • Experience with peer review administration.
  • Experience preparing formal monthly, quarterly, annual, or technical progress reports.
  • Experience supporting grants, cooperative agreements, interagency agreements, purchasing, or government credit card processes.
Work Environment
  • Full-time position supporting a federal public health customer.
  • Work will be performed on site at CDC Atlanta - Clifton Campus offices
  • Occasional travel or in-person participation may be required for customer or stakeholder meetings.
