Job summary

The California State University in Stanislaus State is seeking a full-time administrative professional to coordinate clerical and office support for CaPE programs in Stockton. The role serves as the primary administrative contact for faculty, staff, and students and handles budgeting, reporting, and workflow management.

Ideal candidates will have a high school diploma or equivalent plus several years of related office experience; a Bachelor's degree and CSU experience are highly desirable.

Qualifications

  • Education & Experience: Completions of a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
  • Two (2) years of related experience.
  • Bachelor's degree in Business Administration, Public Administration, Communications, Higher Education Administration, or a related field.
  • Prior experience in a CSU or higher education setting.
  • Experience in managing budgets, tracking financial transactions, and preparing financial reports.
  • Experience coordinating events, handling logistics, and managing travel arrangements.
  • Experience working in a higher education setting.

Responsibilities

  • Coordinate clerical and administrative support functions for the unit.
  • Establish and maintain office procedures and workflow processes in accordance with university guidelines.
  • Coordinate department meetings and related documentation.
  • Coordinate logistics for events and operational activities.
  • Process and monitor purchasing and procurement documentation.
  • Coordinate travel arrangements and reimbursement documentation.
  • Provide lead work direction and guidance to support personnel.
  • Troubleshoot routine office operational issues.
  • Maintain operational calendars and deadlines.
  • Maintain and monitor operating budgets and financial records.
  • Track expenditures and prepare recurring financial status reports.
  • Compile departmental data related to enrollment, curriculum, and workload.
  • Maintain confidential personnel and student records.
  • Prepare required operational and administrative reports.
  • Coordinate documentation for audits and program review processes.
  • Track course enrollments and schedule changes.
  • Review financial documentation for completeness and compliance.
  • Serve as primary administrative contact for faculty, staff, and students.
  • Provide administrative coordination for academic and operational activities.
  • Maintain program documentation and advising files.
  • Prepare correspondence and official communications.
  • Provide administrative support to committees.
  • Coordinate dissemination of procedural updates.
  • Resolve routine operational and procedural matters.
  • Support outreach and program-related activities.
  • May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.
  • At the direction of appropriate administrator, may provide support to other areas as needed.
  • The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this classification.

Education

Position Description

Full-time position available on or after September 7, 2026for Nursing. This position's responsibilities are carried out under general supervision. The incumbent is responsible for coordinating the clerical and administrative support to multiple programs within CaPE programs including ASBSN, Health Science, PMHNP, and RN-BSN.or administrative office and performing complex administrative support duties of an operational and procedural nature. Responsibilities include coordinating office workflow, maintaining office procedures, tracking and compiling budget and operational data, preparing reports and correspondence, interpreting and applying established policies, and serving as a primary administrative contact for the unit. The position exercises independent judgment in prioritizing work and resolving routine operational issues.

Minimum Qualifications

  • Working knowledge of budget policies and procedures.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

Salary Range
  • Anticipated starting salary will be $3,864 (step 1) per month plus excellent paid benefits.
  • Future increases, including step advancement, are subject to contract negotiations. Full range Salary will depend on the qualifications of the successful finalist.
  • Full$3,864(step 1) - $6,072(step 20) per month.
