Position Objective

This is the fully functioning administrative support level. Performs a variety of complex clerical and computer work. Performs departmental or program accounting functions such as accounts payable, accounts receivable, and budget tracking and maintenance. Administers basic programs, modifies procedures, and audits compliance. Conducts research and provides recommendations. Acts as a representative of the department and/or manager. May act as a lead worker, including training of other clerical or support staff.

Position Objective

This is the fully functioning administrative support level. Performs a variety of complex clerical and computer work. Performs departmental or program accounting functions such as accounts payable, accounts receivable, and budget tracking and maintenance. Administers basic programs, modifies procedures, and audits compliance. Conducts research and provides recommendations. Acts as a representative of the department and/or manager. May act as a lead worker, including training of other clerical or support staff.

DUTIES & RESPONSIBILITIES: (These duties are a representative sample; position assignments may vary.)

  • May serve as a lead to lower level staff, which may include: prioritizing and assigning work; training staff on work methods and procedures; and, participating in performance evaluations.
  • Provides customer service by responding to more complex requests for information from parents, students, staff, and/or the general public; communicates District policies and procedures; researches and resolves routine and more difficult and complex issues.
  • Prepares a variety of documents, agendas, meeting minutes, reports, and/or correspondence, which involves: gathering information; writing; editing; preparing documents for publication and/or dissemination; monitoring the distribution of documents and correspondence; and/or, performing other related activities.
  • Serves as an administrative liaison for assigned Administrator or department.
  • Performs and oversees a variety of routine and more difficult clerical duties, including: developing filing systems and maintaining complex and confidential files, faxing, making copies and responding to records requests, answering and transferring phone calls and handling difficult customers and issues, receiving, opening, organizing, and distributing mail for assigned area of responsibility, and/or, performing other related activities. Organizes and maintains supervisor and/or department calendar, which includes scheduling meetings.
  • Manages and orders inventory of department inventory, supplies, and resources; and ensures office equipment is operating properly. Organizes and maintains supervisor and/or department calendar, which includes scheduling meetings.
  • Performs a variety of departmental or program accounting functions, which may include: administering accounts payable; administering accounts receivable; processing requisitions; tracking and maintaining budgets; monitoring funds to ensure allocations are accurate; analyzing funds to determine allocations within the budget; and/or, performing other related activities.
  • Prepares and processes a variety of documents, which may include: time slips, absence forms, travel vouchers, requisitions, and/or other related information.
  • Coordinates a variety of activities, which may include: school visits, interviews, workshops, meetings, and/or other related activities.
  • Participates in a variety of committees; acts as recording secretary.
  • Conducts research on a variety of issues in assigned area of responsibility; makes recommendations based on findings.
  • Performs other duties of a similar nature or level.

EDUCATION & EXPERIENCE: (positions in this class typically require):

High School Degree, and five years of specialized office or secretarial experience; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

Physical Requirements

Positions in this class typically require: reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, talking, hearing, seeing and repetitive motions.

Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects. The use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work.
