Job summary

San Diego State University’s School of Nursing seeks an Administrative Support Coordinator for the SDSU-Chula Vista satellite location. The role acts as a central resource for faculty, staff, and students, ensuring continuity of operations and coordination of academic and administrative functions in alignment with accreditation requirements.

The position is full-time, benefits-eligible, on campus, with standard hours and eligibility for overtime.

Qualifications

  • Minimum four years of administrative/office experience.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint).
  • Experience managing multiple calendars.
  • Familiarity with Learning Management Systems.
  • Experience in large public-sector organizations such as higher education, public agency, government, military or healthcare.
  • Knowledge of FERPA and maintaining student data confidentiality.

Responsibilities

  • Provide administrative and operational support; coordinate workflows; liaison with Global Campus and SON leadership.
  • Oversight of budgets, purchasing, travel, and accounts payable; ensure CSU fiscal policy compliance.
  • Assist with records management, compliance tracking, and clinical coordination processes.
  • Coordinate faculty appointments and workload reporting; ensure proper documentation.
  • Support accreditation and reporting per BRN and CCNE standards.
  • Coordinate events and communications; manage logistics across stakeholders.

Position Summary

The School of Nursing at San Diego State University is seeking a highly organized and detail-oriented Administrative Support Coordinator to join our team. This position offers an exciting opportunity to support the launch and ongoing operations of the new nursing program at the SDSU-Chula Vista satellite location. Serve as a central resource for faculty, staff, and students and ensure continuity of operations, coordination of academic and administrative functions, and adherence to accreditation and regulatory requirements.

Key Responsibilities
  • Administrative & Operational Support: manages day‑to‑day office operations; coordinates administrative workflows; serves as liaison to Global Campus and SON leadership; and provides direct support to the Assistant Director and Director in advancing program operations and initiatives.
  • Budget & Fiscal Management: oversees and tracks multiple funding sources, including state and foundation accounts; processes purchasing, travel, and accounts payable; and ensures compliance with CSU fiscal policies and procedures.
  • Academic & Student Support Coordination: assists with records management, compliance tracking systems, and clinical coordination processes; helps resolve student concerns and directs them to appropriate campus resources.
  • Personnel & Faculty Support: coordinates faculty appointments, workload reporting, and personnel processes in alignment with university and Global Campus policies; assists leadership in ensuring proper documentation and compliance.
  • Accreditation & Reporting: collects and prepares data for required reports and supports compliance with BRN and CCNE accreditation standards.
  • Program & Event Coordination: supports key School of Nursing events, meetings, and communications; coordinates logistics and maintains documentation across stakeholders.
Position Information
  • Full‑time (1.0 time‑base), benefits eligible, permanent/probationary position.
  • Designated non‑exempt under FLSA and eligible for overtime compensation.
  • Standard SDSU work hours Monday‑Friday 8:00 a.m. to 4:30 p.m., may vary based on operational needs.
  • Hired individual will work on campus at SDSU School of Nursing satellite facility in Chula Vista.
Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and to be able to communicate clearly orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Compensation and Benefits

  • Initial step placement is not expected to exceed Step 1 ($4,367) for highly qualified candidates.
  • CSU Classification Salary Range: $4,367 – $6,362 per month (Step 1 – Step 20).
  • Future increases, including step advancements, are subject to contract negotiations.
  • Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
  • Generous Time Off: 15 paid holidays, vacation, and sick leave.
