California State University is seeking an Administrative Support Assistant II to enhance organizational efficiency at the Marilyn Magaram Center. The role involves managing administrative duties, scheduling, and developing office policies to foster a positive work environment. The ideal candidate will have strong organizational skills and experience in office management.
Under the supervision of the Executive Director and Associate/Assistant Director, the Administrative Support Assistant II provides office support to meet the operational needs of the Marilyn Magaram Center (MMC). Responsibilities include organizing administrative duties, improving procedures, and coordinating daily operations. Acts as the lead for tasks such as staff and client scheduling, equipment purchasing and maintenance, shipment and inventory management, developing office policies, onboarding and training employees, overseeing productivity and deadlines, and coordinating events. The role aims to enhance organizational efficiency and foster a positive, inclusive work environment.
Equivalent to three years of full-time experience as an Office Manager, Front Office Manager, or Administrative Assistant, involving general office clerical work. College or vocational training in business or a related field may substitute for up to two years of experience.
Strong knowledge of English grammar, spelling, and punctuation. Ability to organize, prioritize, and coordinate multiple tasks; interpret complex policies; resolve clerical issues; work effectively in a busy environment; communicate clearly both orally and in writing; draft memoranda and correspondence; maintain records; uphold confidentiality; establish cooperative relationships; and operate standard office equipment and software such as Microsoft Office and Adobe Suite.
