Job Description

The Administrative Support Assistant serves as the receptionist, welcomes visitors, answers telephones, and makes referrals to the department faculty and staff. They receive incoming mail (USPS and campus) and packages (UPS, FedEx, Freight, etc.) and disperse packages to the proper individuals within the department. The role also involves facilitating outbound mail and package shipments.

The Administrative Support Assistant performs clerical duties such as producing flyers, meeting agendas, class handouts, and tabulating surveys as needed. They order supplies, schedule and maintain calendars for department vehicles and equipment, and make reservations and orders with other university departments (Fleet Management, University Printing, etc.).

This position supports professors by helping prepare materials for meetings, tabulating information, and processing award materials. They oversee the scheduling of conference rooms and coordinate department seminars by creating and disseminating flyers, ordering materials, arranging setup, and managing attendees and evaluations within an established budget.

The Administrative Support Assistant also handles printing, scanning, and other clerical tasks, serves as a backup for office operations, and performs other duties as assigned.
