The Iowa Department of Health and Human Services (HHS), Division of Community Access, Bureau of Child Support Services, is seeking an Administrative Support Assistant 3 to join our Spencer team.

This full-time role offers potential hybrid work arrangements and requires a valid driver’s license with occasional travel. The office supports families by managing paternity, medical and support orders with a focus on accuracy and confidentiality.

Qualifications

  • Two years of full-time work experience in general office or related work.
  • Two years of education and/or full-time experience acceptable as described.
  • State executive branch experience: 6 months as Administrative Support Assistant 2 or 18 months as Administrative Support Assistant 1.

Responsibilities

  • Perform administrative duties and casework activities for paternity, medical support and order modifications.
  • Communicate with community partners via phone, email and written correspondence.
  • Analyze complex case situations to determine appropriate actions and support local program goals.
  • Assist with establishment and enforcement tasks and location activities using online tools and databases.
  • Use Microsoft Office programs and learn ICAR for success in this role.

Job Description The Iowa Department of Health and Human Services (HHS), Division of Community Access, Bureau of Child Support Services is seeking an Administrative Support Assistant 3 to join our team! At Child Support Services, we help the families of Iowa successfully navigate and understand the importance of providing both financial and emotional support for their children by building relationships with the parents to ensure they are successful. Hours, Work Location and Requirements

This position is in the Spencer Child Support Office. This is a full-time opportunity, Monday - Friday with hours being from 8:00 AM - 4:30 PM. Upon successful completion of the training period and with management approval, this position offers a possible hybrid work opportunity, working from home and office as scheduled. This position requires a driver's license and the ability to travel on occasion.

Job Duties
  • Performs administrative office duties and casework activities as a member of an office team for parents in need of paternity, medical and support establishment, modification of existing order, enforcement, and monitoring of support orders.
  • Communicates with a variety of community partners including human service agencies, employers, clerks of court, county sheriff, attorneys, and other entities to achieve the goals of the Child Support Program through phone calls, emails, and other written correspondence.
  • Independently analyzes a variety of complex case situations and legal scenarios to determine the appropriate action including technical, clerical, and support work to assist in the implementation of local program goals and objectives for achieving statewide success for the Child Support Program.
  • Assist with establishment and specialized enforcement tasks as well as location activities utilizing the internet, databases, and various automated systems.
  • Uses Microsoft Office programs (Excel, Word, Outlook) proficiently and has the aptitude to learn other computerized systems, including ICAR is critically important for success in this position.
  • Comprehend and adhere to confidentiality provisions in the Code of Iowa.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Two years of full-time work experience in general office, clerical, data entry/processing, or related work.
  • A total of two years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.
  • Current, continuous experience in the state executive branch that includes six months of full-time work as an Administrative Support Assistant 2 or eighteen months of full-time work as an Administrative Support Assistant 1.
