Job summary

State of Missouri's St. Louis Forensic Treatment Center seeks an Administrative Support Assistant to support daily clinic operations, coordinate external medical appointments, and maintain patient records in the electronic health record.

You will work with nursing staff, medical providers, and laboratory personnel, handle documentation, and assist with QA activities while ensuring confidentiality and compliance.

Qualifications

  • One to three years of administrative, healthcare, medical office, clinic, hospital, laboratory, or customer service experience.
  • Ability to maintain confidentiality and professionalism in a healthcare environment.
  • Strong organizational, communication, and time management skills.

Responsibilities

  • Coordinate and schedule external medical appointments, consultations, specialty services, and diagnostic procedures.
  • Serve as a point of contact for outside healthcare providers, hospitals, laboratories, and specialty clinics.
  • Obtain, track, and upload consultation reports, hospital records, laboratory results, and outside provider documentation into the electronic health record.
  • Monitor and track pending outside consultations, diagnostic procedures, and specialty appointments. Follow up with outside healthcare providers to ensure timely receipt of consultation reports, test results, recommendations, and other medical documentation for review and incorporation into the patient’s medical record.
  • Coordinate patient movement and transportation related to outside medical appointments and consultations.
  • Support nursing staff and medical providers with administrative functions related to patient care coordination.
  • Assist with quality assurance activities, record reviews, data tracking, and clinic reporting as assigned.
  • Maintain accurate patient records while ensuring confidentiality.
  • Utilize electronic health record systems, Microsoft Office applications, and other approved software programs to support clinic operations.
  • Provide support to laboratory operations, including specimen collection, processing, labeling, tracking, and transport under the direction of licensed nursing staff and laboratory personnel.
  • May perform venipuncture and specimen collection upon completion of required training and demonstrate competency under the direction and supervision of the phlebotomist, LPN, RN, or other designated clinical staff.
  • Perform other duties as assigned to support clinic operations and continuity of services.

Administrative Support Assistant- Clinic
St. Louis Forensic Treatment Center, 5300 Arsenal St, St. Louis, MO 63139

Forensic Treatment Center provides specialized care for clients diagnosed with mental illness. The South Campus Clinic is seeking a detail-oriented Administrative Support Assistant to support daily clinic operations. This position works collaboratively with nursing staff, medical providers, laboratory personnel, and outside healthcare organizations to ensure timely coordination of patient care, laboratory services, medical documentation, and external healthcare appointments.

Responsibilities

Minimum Qualifications
  • No disciplinary action within the previous twelve (12) months.
  • One (1) to three (3) years of administrative, healthcare, medical office, clinic, hospital, laboratory, or customer service experience.
  • Ability to maintain confidentiality and professionalism in a healthcare environment.
  • Strong organizational, communication, and time management skills.
  • Ability to prioritize multiple tasks and meet established deadlines.
  • Proficient in Microsoft Office applications, including Word, Excel, and Outlook.
Preferred Qualifications
  • Experience working in a medical office, clinic, hospital, laboratory, behavioral health, or correctional healthcare setting.
  • Knowledge of medical terminology.
  • Experience coordinating appointments, consultations, and healthcare services.
  • Experience with electronic health record systems (CERNER, EPIC).
  • Experience supporting laboratory services, specimen collection, or phlebotomy operations.
  • Ability to work collaboratively with nursing staff, providers, laboratory personnel, and outside healthcare organizations.
