Job Summary
The Administrative Specialist Sr (Police Support Coordinator eff. 7/1/25) for College Police plays a vital role in supporting the College Police staff and the Phoenix College community. This position is responsible for performing a variety of administrative duties in the College Police Office, including answering phone calls, monitoring security cameras and alarms, and assisting individuals who visit the office for help. The role also involves frequent coordination with other campus departments and providing support to the general public with their needs related to College Police services.
In a dynamic learning college environment, this position serves as a key point of contact for both the campus and the broader community. It includes responsibilities such as welcoming community partners, addressing various campus needs, and managing office operations. Additionally, the Administrative Specialist Sr handles office coordination, inventory management, and administrative tasks, including processing purchases, managing security contracts, overseeing the department's budget (including purchase orders), and managing citation and fine budgets.
This position is effective 7/1/2025.
Essential Functions
50% - Administrative and System Support
Coordinate and manage various computer systems (Microsoft Office, Google Suite, Excel, HCM - Human Capital Management, FMS - Financial Management System, SIS - Student Information System) to maintain departmental operations, including creating reports, managing the citation/fine system, tracking budgets, and handling confidential student and personnel records. Assist with research, information gathering, and coordination of activities for College Police projects, programs, or services.
20% - Customer Service and Inquiries
Respond to walk-in inquiries, phone calls, and information requests, offering detailed knowledge of policies and procedures. Resolve issues or refer requests to the appropriate resources. Provide assistance with special projects and ensure effective communication with campus departments, community partners, and the general public.
15% - Office Administration
Perform general office administrative tasks, including preparing documents, correspondence, and reports. Maintain office supplies, equipment, and schedules. Coordinate meetings, appointments, travel arrangements, and record meeting minutes when required.
10% - Monitoring and Security
Monitor security cameras, alarms, and other campus safety systems, ensuring the proper functioning and quick response to potential security issues.
5% - Miscellaneous Duties
Adhere to applicable policies and procedures, maintain files and databases, and perform other duties as assigned by the Commander or College Police Department.
Minimum Qualifications
Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office
support and/or administrative coordination activities.
OR
High School Diploma or GED and four (4) years of administrative office support or related experience providing various secretarial, administrative office support, and/or administrative coordination activities.
