Responsibilities

ADMINISTRATIVE SPECIALIST (Level I) Performs a variety of routine administrative duties for a department, manager or above. Typical duties include general clerical tasks, handling routine matters, and supporting issue resolution. Primary duties include:

  • General office duties: filing, monitoring supplies, mail handling, photocopying, assembling documents, and distributing routine materials.
  • Invoice administration: review invoices, identify accounting strings, and submit invoices for timely payment.
  • Prepare meeting materials, post follow-up items, and may take minutes and attendance.
  • Coordinate data collection and preparation of operating unit and monthly reports; perform basic analyses as requested.
  • Coordinate with support staff for department activities and events.
  • Develop simple process improvements and potentially participate in small-scale projects.

ADMINISTRATIVE SPECIALIST II Under minimal supervision, performs more complex administrative duties for one or more managers or units. Typical duties include:

  • Serve as budget coordinator for a department: monitor spend, analyze variances, and prepare monthly status reports.
  • Manage invoices and assist with problem resolution using established policies and procedures.
  • Coordinate meetings, agendas, and arrangements; prepare materials and presentations.
  • Maintain department records with confidentiality and organize files.
  • Compile and analyze data for administrative programs and reports.
  • Lead or support special projects and coordinate team activities.
  • Assist with scheduling and workload management to meet deadlines.
  • Develop methods to handle information and improve procedures.

ADMINISTRATIVE SPECIALIST SR Works independently on complex administrative duties for one or more managers or multiple departments. Typical duties include:

  • Lead budget coordination across multiple departments or programs; monitor spend and prepare monthly reports.
  • Perform high-level administrative duties, including complex documentation, reports, budgets, and correspondence.
  • Screen visitors and calls, manage calendars, and prioritize workload with sound judgment.
  • Coordinate meetings and travel arrangements; prepare materials and presentations.
  • Lead special projects and oversee core processes within the unit.
  • Provide guidance to less experienced staff and ensure timely, accurate deliverables.
Qualifications

Education
Required: High School Diploma or General Education Diploma (GED)

Licenses/Certifications
Required: Valid driver's license with acceptable driving record

Experience
Level I: 1 year related experience in reception, administrative functions, or customer service.
Level II: 4 years related experience in more complex administrative roles.
Senior: 2 years in Level II or 6+ years in related administrative roles with progressively increasing responsibilities; experience in a utility environment preferred.

Knowledge/Skills/Abilities
Required: Proficiency in MS Office, data entry and reporting, ability to use spreadsheets, familiarity with budget processes, and strong written and verbal communication. Strong organizational skills and attention to detail.
Preferred: Knowledge of department operations, policies, and procedures; experience with MS Outlook calendars.

Working Conditions

Normal office environment. Some roles may require field or on-site duties as applicable.
