The Department of Adult and Juvenile Detention (DAJD) is seeking one (1) full-time Administrative Specialist III (Special Duty Assignment or Term Limited Temporary) to join our training team! The position supports all divisions of the Department of Adult and Juvenile Detention.

The Department of Adult and Juvenile Detention (DAJD) is seeking a technically savvy, highly motivated individual to occupy the position of Administrative Specialist III for our Training Unit. We seek a detail-oriented, customer-focused, flexible, and self-motivated individual who works well with other team members. Focusing on superior service, the successful candidate will be instrumental in implementing and managing new digital solutions that will create easy-to-use and effective mechanisms to track and retrieve staff training records.

About the department: The Department of Adult and Juvenile Detention (DAJD) is a professional and nationally recognized organization that supports safe, vibrant, and healthy communities in partnership with other criminal justice and human service agencies. DAJD operates the largest county jail in the State of Washington, housing an average daily population of more than 1500 inmates.

Special Duty & Term Limited Temporary Assignments: The temporary position is scheduled to last through August 2025; however, the exact duration may end earlier or be extended based on operational needs. Rate of pay will be in accordance with applicable bargaining agreements and/or Career Service Guidelines. Special Assignments do not confer any privilege, right of appeal, or right of position, transfer, demotion, promotion, or reinstatement, and can be revoked at any time with or without cause.

  • Provide exceptional customer service and support in assisting with information requests from the general public, command staff, County departments, internal, and external stakeholders;
  • Prepare and maintain the Training Unit's Master Calendar annually and provide updates to the team as changes occur;
  • Assist in the preparation/organization of DAJD's New Employee Orientations;
  • Utilize SharePoint to organize and maintain records;
  • Utilize various computer programs/databases to develop, maintain, update, enter/retrieve data related to training databases and electronic training files;
  • Track employee attendance at King County safety classes (i.e., Defensive Tactics, ongoing training, Firearms qualifications, etc.);
  • Maintain Outlook calendar information for Training Unit staff and multiple conference rooms, schedule and reserve locations for training sessions, and meetings;
  • Maintain and update a NEOGOV database to include online training;
  • Enter/track new-hire mandatory training in King County's training program(s);
  • Identify, research, and resolve Training Unit issues, as needed; make recommendations, and or problem-solve situations;
  • Compose and/or compile reports utilizing a variety of computer and database programs;
  • Maintain and update schedules of activities, statistical charts, and graphs as needed for various functions/purposes;
  • Maintain security and confidentiality of highly sensitive communications and information in all forms (written, verbal, and electronic) and of all related information and documents including files and records;
  • Listen to customers and stakeholders, and use their feedback to improve or recommend appropriate changes to processes, services, and products;
  • Responsible for performing other duties as assigned and needed to support the Training Unit.

Minimum Requirements:

  • Three (3) years of full-time office work experience which includes one (1) year of experience working with complex processes in high quantity/high volume customer service and complex administrative functions.
  • High School Diploma or GED.
  • Must be proficient in the use of general office equipment, including copiers, printers, and scanners.
  • Intermediate skill level utilizing Microsoft Office 365.
  • A valid Washington State driver's license by time of hire.

WE ARE LOOKING FOR SOMEONE WHO HAS:

  • Skill in providing consistent, accurate, friendly, and professional technical support to non-technical customers.
  • Strong customer service skills including effective oral and written communication skills. Ability to use tact and discretion in difficult communications.
  • Exceptional organizational skills including planning, prioritizing, attention to detail, ability to multitask, analytical skills, problem-solving, and time management skills.
  • The maturity and responsibility to maintain secure and confidential information, addressing sensitive inquiries and complex issues.
  • Must be able to work effectively with individuals from a variety of backgrounds and cultures.

DESIRABLE QUALIFICATIONS INCLUDE:

  • Experience monitoring employee training for a large organization.
  • Experience working within the criminal justice/corrections field.
  • Experience working with any of the following systems: NEOGOV, PowerDMS Suite, SharePoint, Adobe Suite.
  • Advanced skill level utilizing Microsoft Office 365.

SPECIAL REQUIREMENTS: Competitive candidates for this position might be required to take a computer-based skills proficiency assessment. If a skills assessment is administered, only the top selected candidates that have successfully passed the skills proficiency assessment will be invited to interview. It is a hiring requirement that all staff employed by DAJD successfully pass a thorough background investigations process, which includes fingerprinting, criminal history check, reference checks, and other tests as deemed necessary.

WORK LOCATION: The workspace for this position is located within the secure perimeter of the King County Correctional Facility (500 Fifth Avenue, Seattle WA 98104). A secondary workspace for this position is located inside the Maleng Regional Justice Center (620 W James Street, Kent WA, 98023) and may be used for days, or weeks at a time depending on the needs of the Training Unit.

WORK SCHEDULE: The current opening is for a 40-hour workweek. Candidates are required to be available to work Monday through Friday, 8:00 a.m. to 4:30 p.m. Schedule assignments are subject to the staffing needs of the department. This position is overtime eligible under the provisions of the federal Fair Labor Standards Act (FLSA).
