Position Announcement: Grant Coordinator

Position Summary:

The Grant Coordinator, an Administrative Specialist III, is responsible for coordinating office activities, researching and preparing reports, and developing, revising, and recommending administrative policies and procedures as directed by the supervisor. This position is governed by state and federal laws and agency/institution policy.

Duties & Responsibilities:
  • Manage disbursement of federal, state, and institutional aid to students; monitor monthly disbursements of Pell, Work-Study, and TEACH Grants.
  • Understand and process federal regulations and guidelines related to packaging and disbursing aid to students.
  • Package all students' aid and process award letters.
  • Reconcile Pell and TEACH Grant aid accounts.
  • Process Federal Work-Study Program payments twice a month for payroll.
  • Process student exit interview letters.
  • Ensure the security of confidential records and compliance with all applicable rules, regulations, policies, and procedures; review record retention schedules, establish destruction dates, and transfer records and data as needed.
  • Oversee and analyze record preparation processes to ensure quality, accuracy, and efficiency; maintain up-to-date documentation; create or modify procedures; provide technical assistance and error feedback to staff.
  • Communicate daily by email, phone, and in person with students, staff, faculty, and authorized agencies regarding financial aid applications, eligibility, and awards, following established procedures.
  • Perform other duties as required.
Knowledge, Skills, and Abilities:

Working knowledge of Banner information system, data system functions, record management systems, and retention policies. Knowledge of federal and state privacy laws and regulations. Ability to analyze, evaluate, and recommend improvements to records systems flow.

Work Schedule:

Monday - Friday, 8:00 a.m. - 5:00 p.m., with additional hours as needed. Regular and reliable attendance required.

Other Notes:

Assist students, parents, staff, faculty, and external agencies with financial aid inquiries.

Qualifications:

Preferred: Bachelor's degree from an accredited university.

Minimum: High School Diploma or equivalent; one (1) year of specialized training in business management, education, or related field. Other relevant education or experience may be substituted upon approval.
