Administrative Specialist - Cancer Care Equity Program

Under moderate supervision, the Administrative Specialist II provides administrative support to staff, faculty, or departments involved in clinical, academic, research, and leadership roles at Dana-Farber Cancer Institute. The role involves using office software to produce reports, spreadsheets, presentations, and other documents. The specialist may interface with senior management, cross-organizations, and both internal and external customers, applying established techniques, procedures, or standards.

The Cancer Care Equity Program (CCEP), established in January 2012, aims to reduce disparities in cancer outcomes among marginalized groups locally and serve as a national model for cancer equity research translation into interventions. The Administrative Support Specialist II will support program functions, communicate effectively, and assist in program development and execution.

Located in Boston and surrounding communities, Dana-Farber is a leader in cancer research and patient care, committed to diversity, equity, and inclusion, and serving high-risk and underserved populations. The position may require remote work days from New England states (ME, VT, NH, MA, CT, RI).

Key Responsibilities:
  • Perform financial tasks such as P-Card review, expense reports, vendor payments, and office supply ordering.
  • Support program functions and administrative duties including answering phones, managing supplies, mail, calendars, and work orders.
  • Manage meeting schedules, prepare agendas, minutes, and follow-up actions.
  • Draft correspondence, reports, spreadsheets, and presentations.
  • Serve as a point of contact internally and externally on operational matters.
  • Assist in planning seminars, meetings, and projects.
  • Handle inquiries and resolve issues efficiently.
  • Coordinate travel arrangements and keep team members updated.
  • Support onboarding and training of new staff.
  • Promote the program through social media, newsletters, or outreach efforts.
Minimum Qualifications:
  • High school diploma required; Bachelor’s degree preferred.
  • At least 3 years of relevant experience.
Knowledge, Skills, and Abilities:
  • Strong communication skills, proficient in Microsoft Office, Google Suite, Zoom, and Adobe.
  • Exceptional customer service and professional interaction skills.
  • Problem-solving ability, confidentiality, and attention to detail.
  • Excellent organization, multitasking, and prioritization skills.
