University of South Florida’s Student Health and Wellness Center in Tampa seeks an Admin Specialist to support daily facility operations and administrative tasks. Reporting to the Facility Manager, you will help ensure a safe, compliant environment and smooth service delivery, including emergency preparedness and records management.

Qualifications

  • This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position.
  • Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.

Job Description

The Admin Specialist primary purpose is to support the daily facility operations of the Student Health and Wellness Center (SHWC) on the Tampa campus by providing administrative and facilities management support.

Reporting to the SHWC Facility Manager, this essential position supports the daily operations of the SHWC by helping to maintain a safe, functional, and compliant environment through the coordination of maintenance activities, work orders, vendor services, budget tracking, regulatory documentation, and emergency preparedness efforts.

The role also supports facility logistics and may provide direction to maintenance personnel, custodial staff, and student workers to ensure efficient operations and service delivery.

Responsibilities
  • Coordinate maintenance work orders and facility service requests.
  • Oversee custodial services to maintain cleanliness and safety standards.
  • Coordinate vendor and contractor activities and on-site work.
  • Support regulatory inspections, compliance, and required documentation. Resolve facility-related issues involving maintenance, utilities, and space usage.
  • Assist with emergency preparedness, safety initiatives, and compliance activities.
  • Maintain facility records, reports, and operational documentation.
  • Coordinate schedules, meetings, and departmental activities
  • Support purchasing, inventory management, and invoice processing.
  • Serve as a liaison between facility staff, vendors, and campus departments.
  • Perform other administrative and operational duties as assigned
Minimum Qualifications

This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.

  • SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
  • A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
  • (a) Two years of direct experience for an associate degree;
  • (b) Four years of direct experience for a bachelor’s degree;
  • (c) Six years of direct experience for a master’s degree;
  • (d) Seven years of direct experience for a professional degree; or
  • (e) Nine years of direct experience for a doctoral degree
  • Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
  • Minimum Qualifications that require a high school diploma are exempt from SB 1310.
Preferred Qualifications

This position requires a high school diploma or equivalent, with at least four years of experience in office, facilities, or operational support. Relevant experience in a healthcare or building maintenance environment is strongly preferred. College coursework or vocational/technical training in facilities management, business, or health sciences may substitute at an equivalent rate for the required experience.
