Job description

Overview

The Administrative Services Coordinator I will fulfill a supportive role in the operations of the department. The Administrative Services Coordinator I will assist the Administrative Coordinator II (Staffing and Office Coordinator) with the coordination and completion of administrative duties in the school setting. Prioritization of workflow will be done in coordination with the Administrative Coordinator II (Staffing and Office Coordinator). The Administrative Services Coordinator I must maintain accuracy and ensure confidentiality of all student, financial, and personnel information accessible to this position.

Responsibilities

1. Collect and record, daily, all information regarding student absences and tardiness. Call families regarding student absences and maintain records of such contact. 2. Provide administrative support to the Administrative Coordinator II and school administrators with daily responsibilities to include, but not limited to, typing reports and correspondence, copying, scheduling meetings and taking minutes at meetings as needed. 3. Maintain files of all fingerprint applications and clearance letters from CJIS. Notify supervisors of discrepancies/concerns with clearance letters. Track fingerprinting in the Power School database.4. Assist in maintaining files on all Program Aides to include transcripts, test scores, paraprofessional staff development plans and correspondence. Track information in the Power School database.

5. Complete and disseminate end of month local school system’s attendance reports. Generate attendance letters to individual families whose students have had excessive absences and disseminate to all require parties (i.e. LSS, Social Worker and ACT office). Keep record of all attendance information and correspondence that is generated.6. Maintain MSDE teacher and Social Worker certification files. Review to ensure all certifications are current and accurate. Maintain records in Power School.7. Maintain licensure files for all related service personnel. Ensure that all licenses on file are current. Maintain records in Power School.8. Process tuition assistance applications. Ensure all necessary paperwork is submitted in a timely fashion. 9. Provide administrative support to the Parent Association, as needed.10. Complete MSDE spreadsheets as required.11. Complete all duties related to Kronos payroll system in the absence of the secretary/receptionist.

Qualifications

EDUCATION:

  • High School diploma required. AA degree preferred.

EXPERIENCE:

  • At least two years of previous administrative experience is required.
