Job description

Administrative Practice Coordinator

We are seeking an Administrative Practice Coordinator to join our Litigation Practice Area. The Coordinator will provide high‑level administrative support including managing administrative tasks, coordinating travel, supporting business development, and executing complex projects. This position is based in Wilmington, Delaware with a hybrid in‑office/remote schedule.

Responsibilities
  • Coordinate travel, including visas and passports, and manage calendars and scheduling.
  • Enter attorneys’ time records, submit expense reports, and process vendor invoices.
  • Collaborate with Partners and Client Accounting to ensure accurate client billing.
  • Support document management, records retention, printing, scanning, and quality control.
  • Prepare engagement letters, new matter memos, and assist with conflicts process.
  • Prepare materials for presentations, pitches and conferences.
  • Enter and maintain contact records in InterAction, assemble mailing lists.
  • Track and report Business Development meetings, assist with charitable donation requests.
  • Coordinate conference services, audio‑visual, catering, and vendor requests.
  • Receive and interact with incoming clients and visitors.
  • Demonstrate effective interpersonal, written and verbal communication skills.
  • Manage Firm resources responsibly and comply with policies.
  • Maintain a reliable physical presence in the office four days a week.
  • Perform other related duties as assigned.

Education & Experience
  • Bachelor's degree.
  • Minimum of two years of related experience in a law firm or professional services environment.
  • Notary Public licensed in Delaware or ability to obtain within six months.
