Job summary

Ramboll in the Americas is seeking an administrative professional to support the technical team with proposal creation, reports, and client communications using Ramboll branding. You will organize meetings, maintain the office, and handle supplies and onboarding processes.

The role requires strong Microsoft Office skills, CRM familiarity, and the ability to manage multiple tasks in an in-office setting Monday through Friday.

Qualifications

  • Bachelor’s degree in business, communications, marketing, or a related field.
  • Two years or more of professional relevant experience; previous admin support in an engineering/consulting firm beneficial.
  • Proficient document production with MS Office 365 (Word, Excel, PowerPoint, OneDrive, Teams, Outlook; Adobe).
  • Familiarity with a CRM system beneficial but not required.
  • Experience planning meetings/events that may include catering.
  • Troubleshoot office equipment and set up virtual meetings in conference rooms.
  • Excellent written and verbal communication; strong grammar, spelling, and editing skills.
  • Ability to juggle multiple tasks and work independently with minimal supervision.
  • Must maintain discretion handling sensitive/confidential information.

Job Description

The responsibilities in this role include (but are not limited to) the following:

  • Support the technical team in the development and preparation of documents including proposals, presentations, and technical reports using Ramboll branded templates that may include graphics and tables. This includes document formatting and editing, reviewing for compliance with Ramboll branding standards, grammar, and punctuation.
  • Organize and manage office activities, vendor lunch and learns, client meetings and internal meetings.
  • Maintain the office space, workstations, kitchen area, conference rooms, and supplies.
  • Managing ordering of office supplies, employee supplies, etc.
  • General administrative support to employees as needed.
  • Manage reception including building access for visitors, mail, and deliveries.
  • Employee onboarding/offboarding.
  • Process vendor invoices for payment and prepare reconciliation reports.

  • A bachelor’s degree in business, communications, marketing, or a related field. An associate degree or equivalent experience will also be considered.
  • Two years or more of professional relevant experience.Previous work as administrative support at an engineering and consulting firm is beneficial.
  • Experienced document production skills with expertise using Microsoft Office 365 (including Word, Excel, PowerPoint, OneDrive, Teams, and Outlook,Adobe)
  • Familiarity with a customer relationship management (CRM) software system is beneficialbut not required.
  • Experience with planning meetings and events that may include catering orders.
  • Ability to troubleshoot office equipment (e.g., copiers/printers) and assist with setting up virtual meetings in conference rooms.
  • Excellent written and verbal communications skills, including thorough knowledge of grammatical rules, spelling, punctuation, and use of proper syntax; solid proofreading and editing skills.
  • Ability to juggle multiple competing tasks and demands.
  • Ability to take ownership and work independently with minimal supervision and direction.
  • Must have high level of discretion to handle sensitive and confidential situations.

The anticipated base salary range for this position is $70,000 to $85,000 per year. This range reflects the compensation wereasonablyexpect to offer at the time of posting. Actual compensation will vary based on factors such as location, skills, experience, education, and internal equity. Because we operate across multiple U.S. markets, pay may differ depending on the cost of labor in specific locations. In addition to base salary, this position may be eligible for bonus, overtime or other forms of compensation and we offer a comprehensive benefits package that supports well-being, professional development, and work-life balance.
