Office Assistant

We are seeking a highly organized and detail-oriented Office Assistant to support daily administrative operations in a dynamic, fast-paced environment. This role requires someone who excels at providing exceptional customer service, communicates clearly and professionally, and enjoys helping others. The ideal candidate will be proactive, dependable, and able to balance multiple priorities while maintaining accuracy and professionalism.

Role Overview

We are looking for a dependable and proactive Office Manager to keep our daily operations running smoothly. In this role, you will be the friendly face of our office, supporting our leadership team and ensuring our clients receive great service.

Key Responsibilities
  • Communications & Dispatch Support
  • Serve as the primary point of contact for incoming calls, ensuring a professional and welcoming client experience
  • Create and route service tickets within our system; potentially serving as a backup for the Service Dispatcher during peak times
  • Disseminate internal communications and follow up on directives from the GM and SM to ensure tasks are completed across the team
  • Act as administrative assistant to the leadership team by managing schedules and assisting with special projects
  • Prepare and assemble professional packets for Client Strategic Business Reviews (SBRs) and marketing initiatives
  • Manage facilities, including office supplies, snacks/lunches, and general office upkeep
  • Coordinate and plan staff events and team-building activities
  • Interface with clients and vendors to handle escalations for AR/AP
  • Receive and process incoming checks for the Finance department
  • Manage vendor relationships and work with providers to obtain software renewal quotes and prepare client-facing quotes
  • Assist in the onboarding process for new employees, ensuring they have the necessary tools and information from day one
  • Maintain accurate inventory counts for both internal stock and client-specific equipment
  • Oversee the ordering of hardware and software, with the potential to grow into a primary Procurement role
Required Skills & Qualifications
  • Confident Communication: You must be comfortable following up with team members on tasks and communicating effectively with high-level vendors and clients
  • Adaptability: A "no task is too small" attitude with the ability to switch gears quickly in a fast-paced MSP environment
  • Technical Literacy: Proficiency with office software; experience with MSP tools (PSA/Ticketing systems) is a plus
  • Organizational Excellence: Ability to manage physical inventory, digital quotes, and executive calendars simultaneously
  • Customer Service Focus: A professional demeanor that reflects our brand in every interaction
