Responsibilities

  • Serve as the primary person answering incoming patient phone calls.
  • Direct or transfer patients to appropriate staff when necessary.
  • Listen to patient questions, concerns, and requests and determine next steps.
  • Document patient messages accurately and communicate concerns to providers.
  • Send messages and emails to providers when input is needed.
  • Schedule, reschedule, and confirm patient appointments by phone.
  • Assist patients with appointment-related questions and general office concerns.
  • Collect patient balances and assist with payment questions.
  • Process and follow up on prior authorizations (PAs).
  • Work efficiently within the practice's EMR/EHR system.
  • Enter and update patient information accurately.
  • Coordinate communication between patients, providers, pharmacies, and staff.
  • Follow up on outstanding patient requests and ensure messages are routed correctly.
  • Maintain patient confidentiality and HIPAA compliance.
  • Perform additional administrative and medical office duties as needed.

Job description

We are a busy psychiatric medical practice seeking an experienced, dependable, and patient-focused Administrative Psychiatric Medical Assistant to join our office team.

Our administrative and clinical support staff work together in the office, while our psychiatric providers work remotely from home. This position plays an important role in keeping communication between patients, office staff, and providers organized and efficient.

The ideal candidate is professional, compassionate, technologically savvy, and comfortable working independently in a busy mental-health practice. Because this position is often the first point of contact for our patients, excellent communication skills, patience, and the ability to remain calm and professional when assisting patients with mental-health concerns are essential.

Responsibilities
  • Serve as the primary person answering incoming patient phone calls
  • Answer calls professionally and direct or transfer patients to the appropriate staff member when necessary
  • Listen carefully to patient questions, concerns, and requests and determine the appropriate next step
  • Document patient messages accurately and communicate concerns to the appropriate provider or staff member
  • Send messages and emails to providers when provider input or follow-up is needed
  • Schedule, reschedule, and confirm patient appointments by phone
  • Assist patients with appointment-related questions and general office concerns
  • Collect patient balances and assist with payment-related questions
  • Process and follow up on prior authorizations (PAs)

Qualifications & Experience
  • Previous experience working as a Medical Assistant, Psychiatric Medical Assistant, Medical Office Assistant, or similar healthcare administrative position
  • Experience working in a psychiatric, behavioral health, mental health, or medical practice preferred
  • Experience using an EMR/EHR system
  • Strong computer and technology skills
  • Excellent verbal and written communication skills
  • Strong organizational and time-management skills
  • Ability to multitask and prioritize responsibilities in a busy office
  • Ability to work independently with minimal supervision
  • Excellent attention to detail and accurate documentation skills
  • Professional, dependable, and reliable
  • Comfortable handling a high volume of phone calls
  • Ability to remain calm, respectful, and patient when speaking with individuals experiencing mental-health concerns
