Administrative & Marketing Coordinator

This role blends traditional administrative support with marketing, client experience, and business development activities. The ideal candidate enjoys wearing multiple hats, managing details, building relationships, and bringing new ideas to the table. We are looking for someone who wants to make a meaningful impact while gaining exposure to financial services, marketing, and client relationship management.
Responsibilities:
Administrative Support
- Manage advisor calendars, scheduling, and meeting logistics
- Prepare advisor for client meetings and appointments
- Manage email correspondence and assist with communication workflows
- Track action items and ensure timely follow-up on outstanding requests
- Maintain accurate client records and reporting
- Complete, submit, and track insurance and operational paperwork
- Coordinate weekly team meetings and other internal meetings as needed
Client Experience & Retention
- Serve as a key point of contact for client service requests and inquiries
- Support client retention initiatives and relationship-building efforts
- Coordinate client appreciation activities, gifts, thank-you campaigns, and personalized touches
- Assist with client events, educational workshops, and appreciation gatherings
- Create exceptional client experiences that reinforce long-term relationships
Marketing & Business Development Support
- Assist with the execution of social media content and engagement
- Monitor social media channels and help maintain a consistent online presence
- Support team newsletters, email campaigns, and marketing communications
- Help track marketing metrics, referral sources, and campaign effectiveness
- Maintain and update marketing materials and digital content as needed
Qualifications
Required

- Ability to prioritize multiple tasks and meet deadlines
- Strong attention to detail and follow-through
- Professional and positive attitude when working with clients
- Technology proficiency, including Microsoft Office and virtual meeting platforms
- Ability to maintain confidentiality and handle sensitive information
Preferred
- Experience supporting executives, advisors, or professionals in a service-based environment
- Exposure to social media, marketing, event planning, or client engagement activities
- Experience managing calendars and coordinating client communications
- Bachelor's degree or equivalent professional experience
- Life, Accident & Health License (or willingness to obtain)
