The Administrative Manager serves as a critical member of CEPS Dean’s Office team, overseeing the daily operations, staff coordination, and administrative processes within the office. This role supports the Dean, Associate Deans, and senior leadership in managing communications, planning events, coordinating academic and operational projects, and ensuring compliance with CBAs, institutional policies and procedures. The Administrative Manager maintains a high level of professionalism, discretion, and organization in a fast-paced environment.

Under administrative review of the dean, the administrative manager independently provides diverse and highly responsible support in a variety of professional and administrative duties that facilitate the day-to-day operations for CEPS. The administrative manager handles sensitive situations that have a significant impact on the overall goals of the unit. This person will also serve as a contact person for facilities and other campus-wide services for communication to the CEPS community. The person may develop policies and procedures for the management and operations of CEPS in conjunction with academic units, academic support and technical services.

Duties/Responsibilities

Administrative Leadership (20%)

Manage the daily administrative operations of the Dean’s Office by overseeing workflow, implementing and updating office policies and procedures, and serving as the primary point of contact for internal inquiries. Support CEPS administrative support staff with respect to USNH procedures and protocols. Lead regular team meetings to ensure alignment of priorities. Maintain comprehensive internal documentation.

Faculty Support (15%)

Serve as the faculty liaison to Department Chairs, faculty committees, and faculty development initiatives, providing guidance on procedures and best practices and ensuring compliance with the CEPS rules and CBAs. Coordinate the promotion and tenure process, oversee faculty reviews, and manage faculty actions such as leaves, promotions, appointments, reviews, and stipends. Prepare the documentation via Workday for faculty appointments, manage reappointments/renewals and change in compensation notifications, and oversee the appointment of Department Chairs, Program Directors, and faculty fellows. Assist the Department Chairs and the Dean with monitoring of the faculty workload data. Organize the periodic faculty meeting as required by the College rules and facilitate the Department Awards process.

Staff Support (15%)

Serve as the CEPS Dean’s Office primary contact for department administrators, offering guidance, support, and resources to ensure consistent and efficient administrative operations across departments. Act as a liaison to promote clear communication, resolve procedural and technical issues, and advise on best practices. Organize training and cross-training opportunities, foster collaboration, and support continuity through shared knowledge and aligned processes.

Executive Support (15%)

Manage the Dean’s calendar by coordinating high-level meetings, interviews, and travel, while preparing agendas, background materials, talking points, and presentations. Provide direct administrative support by screening communications, drafting responses, and tracking follow-up actions.

Records & Data Management (15%)

Maintain and manage faculty and staff records and databases related to personnel, finance, academic planning, and strategic initiatives to support effective and compliant operations. Ensure all records are complete, current, and easily accessible, and that forms, templates, and reference materials used by the Dean’s Office reflect the most up-to-date standards. Support institutional reporting and accreditation efforts by coordinating data collection and assisting departments with processes such as ABET reviews. Regularly update organizational charts, directories, and internal systems to promote accuracy, transparency, and alignment across academic and administrative units.

Communication & Liaison (10%)

Serve as the primary liaison between the Dean’s Office and academic departments, administrative units, and external partners, ensuring clear and consistent communication. Draft, proofread, and distribute official messages, including policy updates, announcements, and newsletters, while maintaining alignment with institutional branding. Coordinate responses to information requests from university leadership, accrediting bodies, and government agencies.

Budget & Financial Oversight (5%)

Collaborate with the finance manager to monitor CEPS budgets and prepare regular financial reports for the Dean.

Project & Event Management (5%)

Provide support to the Admin Asst. III/Event Coordinator/CEPS Research/TSA Support with planning and executing events hosted by CEPS.

Minimum Acceptable Education & Experience

  • High school diploma or equivalent and 8 years of progressively responsible administrative or office management experience; or Bachelor’s degree in business administration, Higher Education Administration, or related field and 4 years of experience; or combination of education and experience totaling 8 years.

Required Knowledge, Skills & Abilities

  • Exceptional organizational, interpersonal, and written/verbal communication skills.
  • Demonstrated ability to manage multiple priorities, deadlines, and confidential information with discretion.
  • Proficiency in Microsoft Office Suite, and enterprise software such as Workday.
  • Strategic thinking with attention to detail and a proactive approach to problem-solving.
  • Strong leadership and team-building skills, with commitment to fostering a collaborative and inclusive workplace.

Preferred Qualifications

  • Master's degree.
  • Supervisory experience and familiarity with university systems.
