About the Job
The Administrative Manager is a key advisor to the Dean and acentral coordinator of administrative operations for the LabovitzSchool of Business and Economics. The position manages andcoordinates college-level faculty and staff personnel processes,financial administration, accreditation reporting, collegiateoperations, policy interpretation, and governance support. TheAdministrative Manager works closely with college leadership,departments, and campus and University service units to ensureaccurate records, timely transactions, sound resource stewardship,and consistent implementation of University and collegerequirements and policies. This is an on-campus role that requiresa consistent presence at the Duluth location.
This is a Professional and Administrative 12-month, continuingposition.
The following duties are typical for this position:
- Administrative Leadership and Governance (10%) : Advise theDean and college leadership on administrative operations andcoordinate cross-functional work with faculty, staff, departments,and campus partners. Attend LSBE Administrative Committee meetingsand prepare and distribute minutes. Support faculty elections andalternate appointments for UMD shared governance positions. Workeffectively with faculty and staff to understand and address theirneeds. Lead and facilitate specific administrative initiatives thatadvance the college’s mission and/or operations and align withbroader University strategic plans and/or areas offocus.
- College Operations and Communications (25%): Coordinateday-to-day administrative operations and serve as a primary pointof contact for college-level operational matters. Update anddistribute the LSBE Building Emergency Plan; coordinate coursescheduling and faculty deployment; complete the annual space auditand inventory in coordination with appropriate campus anddepartmental contacts; maintain LSBE email aliases and GoogleGroups; and update administrative intranet content related tofinance, human resources, and committee records. Serve as projectmanager and coordinator for key collegiate strategic initiatives.Monitor and summarize progress on the strategic plan as well as onkey initiatives in the college-wide strategic plan. Organizeworkflows and follow through on operational requests to keepcollege information and processes current.
- Financial Administration and Resource Stewardship (15%) :Working with the campus liaisons, coordinate the annual budgetcycle, including preparation and review of budgets, fiscal year-endcloseout, and budget summaries for leadership. Prepare monthlyBulldog Fund investment reports for Dean review. Administer Dean'sTravel and Research Fund requests from receipt through approval,tracking, notification, and fund transfer. Coordinate foundationdraw requests, including year-end draws and PUF distributions; LSBEfaculty grant rounds and awards; indirect cost recoveryallocations; journal entries; scholarship uploads and spendingplans; and departmental supplies, equipment, and expenseallocations. Provide college-level guidance on purchasing, travel,reimbursement, and other financial procedures, collaborating withaccounting, budget, department, and administrative staff asresponsibilities require. Support the project budgeting andfinancial/accounting needs (that are not supported by other unitson campus) of the Bureau of Business and EconomicResearch.
- Human Resources and Faculty Personnel Administration (25%) :Administer college-level faculty and staff processes and maintainconfidential records. Add and update Academic Record Files; reviewand approve appointment changes in coordination with payroll and HRstaff; prepare faculty and staff award memoranda; generate andsecure signed Faculty Information Forms and Faculty Qualificationsreports; and prepare overload agreements. Coordinate immigrationpetitions and renewals, prevailing wage determinations, and laborcertification recruitment documentation with International Studentand Scholar Services and departments. Administer the PerformanceAppraisal Tool process; manage promotion and tenure files,sabbatical and single-semester leave requests, and tenure-trackprobationary evaluations (Form 25); manage REPA compliance; andinterpret applicable collective bargaining agreements, CivilService rules, and University policies.
- Accreditation, Reporting, and Data Management (20%) :Coordinate AACSB accreditation data and reporting, including theAACSB Salary Survey and the Business School Questionnaire programand finance modules. Maintain accurate faculty qualification datain Works, generate regular and ad hoc accreditation reports, andsupport faculty qualification and compliance review. Establish andmaintain reliable documentation and data practices so leadershipand accreditation stakeholders receive timely, accurateinformation.
- Policy Interpretation and Service-Unit Liaison (5%) : Serve asa liaison among college leadership, departments, and Universityservice units on finance, human resources, administrative policy,and related transactions. Interpret and communicate college andUniversity policies, procedures, and guidelines; direct questionsto the appropriate subject-matter office; monitor requests throughcompletion; and help ensure consistent application of requirementsacross LSBE.
Qualifications
REQUIRED QUALIFICATIONS
- BA/BS degree plus at least six years of work experience
- Experience in administrative operations, project coordination,financial administration, and/or human resourcesadministration.
- Strong analytical, problem-solving, written communication, andspreadsheet/data-management skills.
- Exceptional interpersonal skills and the ability to buildeffective working relationships across an organization whilehandling confidential information appropriately.
PREFERRED QUALIFICATIONS
- Undergraduate or graduate degree in a business-relatedfield.
- Experience working in a higher education setting, particularlywith faculty personnel or college-level administrativeprocesses.
- Experience managing multiple detailed processes, records,deadlines, and approvals with a high degree of accuracy.
- Experience with annual budgeting, fiscal year-end closeout,financial reporting, fund transfers, grants, scholarships, orfoundation accounts.
- Experience coordinating HR transactions, performance appraisal,faculty appointment, leave, promotion and tenure, orimmigration-related processes.
- Experience interpreting collective bargaining agreements, CivilService rules, or complex institutional policies.
- Experience with accreditation data and reporting, particularlyAACSB reporting and faculty qualification records.
- Experience with enterprise administrative and reporting systemssuch as PeopleSoft, TDX, Works (Digital Measures), or comparablesystems.
- Excellent organizational and communication skills, includingthe ability to prioritize competing deadlines, maintain accuraterecords, follow transactions through completion, and explaincomplex financial, policy, or personnel information tonon-specialist audiences.
About the Department
The Labovitz School of Business and Economics (LSBE) isAACSB-International accredited and housed in a state-of-the-artbuilding. Approximately 1,600 undergraduate and graduate studentsare currently enrolled in the school’s programs. There are about 50full-time faculty members in four academic departments: Accountingand Finance, Economics and Health Care Management, ManagementStudies, and Marketing. The School offers the Bachelor ofAccounting, Bachelor of Business Administration, Bachelor of Artsin Economics, and MBA degrees. Regional outreach is accomplishedprimarily through activities of the Bureau of Business and EconomicResearch. Pay and Benefits
Pay Range: $75,000 - $90,000 annually; depending oneducation/qualifications/experience.
