Job Summary

Responsible for coordinating multiple large-scale program activities and providing administrative support, ensuring operational efficiency and alignment with organizational goals. Facilitates communication across departments, monitors program timelines, and supports project implementation to enhance program effectiveness. Contributes to reporting and data analysis to assess program impact and support strategic improvements. Provides guidance and support to other team members.


Essential Functions

  • Assist in the day-to-day administrative tasks related to program management.
  • Maintain accurate and organized program documentation, including project plans, reports, and correspondence.
  • Assist in the planning and execution of events related to hospital programs, such as workshops, training sessions, and community outreach activities.
  • Enter and manage program-related data, ensuring accuracy and completeness.
  • Communicate with program participants and stakeholders, providing information, collecting feedback, and addressing inquiries.
  • Assist with the financial operations of the program.

Qualifications

Education

  • High School Diploma or Equivalent required; Associate's Degree in a Related Field of Study preferred.

Licenses and Credentials:

Experience in administrative or program support for 3-5 years required.

General Summary / Overview Statement

The Fellowship Coordinator provides key administrative support to the Addiction Medicine Fellowship (AMF) and the Integrated Substance Use Disorder Training Program (ISTP). These programs aim to improve access to evidence-based treatment for substance use disorder (SUD) within the hospital-wide Program in Substance Use and Addiction Services (PSAS). The role requires flexibility, independence, strong communication skills, and the ability to engage with clinical and administrative staff effectively.


Principal Duties and Responsibilities

  • Coordinate the Addiction Medicine Fellowship and ISTP programs.
  • Support the development, implementation, and management of fellowship activities, including application processes, interviews, scheduling, and orientation.
  • Manage program finances, expenses, and social media presence.
  • Represent the fellowship at meetings and liaise with external organizations.
  • Coordinate evaluation processes, grant activities, and ensure compliance with reporting requirements.
  • Support the Fellowship Program Director(s) with administrative tasks, including calendar management and expense reports.
