Job summary

Mariner Finance is seeking an Office Coordinator for a large corporate site in Plano, TX. You will act as the primary resource to management and teams, handling day-to-day office operations, supplies, and reception duties to ensure smooth site functioning.

You will coordinate scheduling, events, travel, onboarding, and engage with contractors, delivering high-quality support to employees and visitors in a fast-paced environment.

Qualifications

  • High school diploma or equivalent.
  • Two years of corporate office experience.
  • One year in office management, facility coordination, or project management.
  • Demonstrated excellence in customer service and handling sensitive data.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong problem-solving, organizational, and project administration abilities.
  • Ability to operate office equipment (copiers, fax).
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to work in a fast-paced, multi-tasking environment with remote staff.

Responsibilities

  • Provide administrative support including scheduling, catering, travel coordination, and large meetings.

  • Manage group distribution lists and resolve questions or issues.
  • Support onboarding and employee engagement activities.
  • Greet visitors and coordinate with employees on arrival.
  • Manage mail and packages and mail processing.
  • Maintain site badge provisioning and access for staff and contractors.
  • Report safety or security problems to supervisor and follow up.
  • Document incidents and assist in mediation as required.
  • May perform additional functions as needed.

Job Details

In this role, you will...

Act as the primary office coordinator and dedicated resource for a large corporate site. You will conduct and coordinate service activities directly impacting the daily functions and process flows governing the maintenance, condition and operation of the physical office spaces and team member experience.

Responsibilities and Duties:

  • Act as a dedicated resource for management and teams at assigned location through email, telephone, and in-person interaction.
  • Handle general office duties, including managing supplies, printers and desktop support.
  • Provide administrative support, including meeting scheduling, catering, travel coordination. Manage large group on-site meetings as needed.
  • Conduct and coordinate site cleaning, repairs, construction work, and other activities as needed to ensure maintenance, condition and operation of the physical office spaces and employee experience.
  • Act as liaison between employees and any outside contractors needed to resolve specialized problems.
  • Serve as first point of contact on group distribution lists, and resolve questions, concerns or issues by providing information, directing to the appropriate resource, or troubleshooting.
  • Welcome and support onboarding for new hires, and support employee engagement activities as needed.
  • Greet and appropriately handle questions and requests of visitors and employees, and contact the appropriate Mariner Finance employee when a visitor arrives.
  • Accept packages and mail from Postal Carrier; review and process delivered mail, and send mail as required.
  • Operate and maintain site badge provisioning, ensuring employees, contractors, and temporary workers have proper building access, and ensure proper system functionality.
  • Report any safety or security problems immediately to Supervisor and follow-up with the required action items.
  • Report suspicious activities and persons; write detailed narrative reports when necessary; enforce rules, regulations, policies, procedures; and respond to emergency situations requiring security assistance.
  • Enforce all safety regulations and initiate the immediate rectifying of any safety hazards.
  • Document incidents and events, and provide emergent mediation/de-escalation as required.
  • May perform additional functions depending on market demand and staffing in order to provide consistent quality customer service.

Required Qualifications:

  • High school diploma or equivalent.
  • A minimum of two (2) years relevant experience in a corporate office environment.
  • A minimum of one (1) year experience in office management, facility coordination, or project management. College coursework may substitute for years of experience.
  • Demonstrated excellence in customer service with the ability to handle sensitive data with confidentiality and urgency.
  • Excellent interpersonal, verbal, and written communication skills.
  • Outstanding problem-solving, organizational, and project administration skills.
  • Ability to operate copiers, fax machines, and other office equipment.
  • Ability to accurately read, identify, and sort addressed items.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to work in a fast-paced environment; ability to multi-task, change direction, effectively prioritize, and meet deadlines with both local and remote staff.

Hours of Work:

Monday through Friday. Work hours will depend on the business hours of the time zone serviced. To the extent permitted by law, the Company may, in its sole discretion, change the work schedule to address business needs.

Physical Demands:

While performing the duties of this job, the employee is frequently required to sit for extended periods; reach with hands and arms; and talk or hear. The employee must occasionally lift and/or move up to twenty (20) pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
