Job summary

Therapeutic Associates Scholls Physical Therapy is seeking a Lead Administrative Coordinator for full-time operations support across the clinic. You will oversee front office duties, insurance authorizations, scheduling, and patient registration, ensuring accurate data and excellent customer service.

Qualifications

  • Associate degree or equivalent experience.
  • Basic proficiency with MS Office products including Word, Excel, and Outlook.
  • Customer service experience and prior medical office experience preferred.

Responsibilities

  • Coordinate daily operations of administrative support staff and ensure quality customer service for patients, visitors, or care partners.
  • Manage front office duties: insurance authorization and billing, patient registration, phones, scheduling, and patient database maintenance.
  • Handle provider schedules, claim hold buckets, chart checks, and clinic bill payments.
  • Coordinate insurance benefits and ensure compliance with regulations for services.
  • Ensure intake procedures are followed and policy changes enforced.

How You Will Make An Impact
  • Coordinate the daily operations of administrative support staff. Ensure support staff provides quality customer service to all patients, visitors, or care partners.
  • Manage all front office duties, such as, insurance authorization and billing, registering patients, answering phones, scheduling patient appointments, and maintaining the integrity of the patient database.
  • Manage provider schedules, works claim hold buckets, completes daily chart checks, and coordinates the payment of clinic bills.
  • Ensure payment for services by coordinating insurance benefits and complying with insurance regulations.
  • Ensure intake procedures are followed and completed by all staff.
  • Assist with enforcing policy compliance and policy changes.
What You Will Need To Bring To The Table
  • Associate degree or equivalent experience
  • Basic proficiency with MS Office products including Word, Excel, and Outlook
  • Customer service experience and prior medical office experience preferred
