Position Summary

We are seeking an organized and proactive Administrative Coordinator to support the daily operations of our home care office. This role ensures the smooth coordination of administrative processes, caregiver support, and communication between staff, clients, and leadership.

Essential Job Responsibilities
  • Serve as a primary point of contact for internal staff, caregivers, and client families
  • Coordinate caregiver schedules, shift coverage, and respond to availability or change requests
  • Assist with new hire onboarding, including interview scheduling, reference checks, and orientation support
  • Maintain and update electronic and paper filing systems for HR, client records, and compliance documentation
  • Track and manage caregiver PTO requests, availability updates, and shift adjustments
  • Support billing preparation
  • Monitor and prepare office and medical supply orders based on established inventory
  • Prepare and edit correspondence, internal communications, and reports
  • Assist leadership with meeting scheduling and calendar management
  • Support company initiatives around quality improvement and compliance tracking
  • Communicate with clients, referral partners, and vendors to support care coordination
  • Participate in team meetings and staff development initiatives
  • Manage the company's social media accounts (Facebook, Instagram, and other platforms) by posting updates, promoting events, and engaging with followers
  • Perform other duties as assigned
Qualifications
  • High school diploma required; associate degree or higher preferred
  • Minimum of 2 years of administrative experience, preferably in a healthcare or service-related setting
  • Strong verbal and written communication skills
  • Proficiency with Microsoft Office and office technology
  • Ability to manage multiple priorities, work independently, and handle sensitive information with confidentiality
  • Typing speed of 50+ WPM preferred
  • Familiarity with medical or home care terminology a plus
Physical/Environmental Demands

This is primarily an in-office role requiring extended computer use, telephone communication, and occasional light lifting of office supplies or files.
